Job Title: Financial Administrative Assistant

Reports To: Financial Professional

Job Status: Part-time to Full-time (9 AM- 3 PM M-F)

Location: Remote/On-site

Job Summary

The Administrative Assistant (“AA”) will work closely with the Financial Professional (FP) and Client Service Manager (“CSM”) to build strong relationships with existing clients and assist with various office tasks. The goals are to deliver a high-quality client experience, retain assets and help in running a productive, efficient office. The ideal candidate will be client service orientated, have experience in the financial services industry and be able to manage a process. The AA will also be responsible for office administrative support, maintaining databases of current clients, calendar management, and other tasks deemed necessary by the Financial Professional.

Essential Duties and Responsibilities:

Manage multiple client relationships simultaneously

Prepare appointment material for the FP and CSM which includes generating reports from various systems.

Calendar management for scheduling meetings, conference calls; appointment confirmations and appointment materials

Populate and maintain accurate client information in proprietary systems

Assist with the CRM management which includes clients information, client appointment notes, workflows, and database lists

Assist with the new client onboarding process which includes opening accounts, managing client paperwork, both in person and via Docusign, and maintain communication with the client about the status of accounts.

Assist with branch compliance procedures such as maintaining blotters

Answering incoming office calls and document any requests made by clients

Type and design general written and electronic correspondence

Provide general office support (answering phones, photocopying, faxing, filing, creating documents, etc.).

Process incoming and outgoing mail, including checks, tax forms and scanning to client folder and check log; logging in CRM

Perform other duties as assigned

Required Skills

Understanding and proficiency in regard to customer relationships, customer service, data entry, confidentiality, problem resolution and MS Office products such as Word, Excel, Outlook and PowerPoint

Experience with CRMs, Redtail experience preferred

Experience with virtual meeting applications such as GoTo Meeting/Webinar and Zoom

Excellent oral and written communication skills

Energetic and outgoing personality with great interpersonal skills

Excellent organizational, time management and multi-tasking skills

Organized, meticulous, detail-oriented and able to multitask

Ability to work independently and under pressure in a fast-paced environment

Professional attitude, demeanor, and appearance

Education and Experience

High school diploma required; bachelor’s degree preferred.

Client service/relationship management experience required.

Experience in the financial services industry is preferred.

Securities offered through Registered Representatives of Cambridge Investment Research, Inc. a broker-dealer, member FINRA/SIPC. Job Types: Full-time, Part-time

Pay: $20.00 – $26.00 per hour

Expected hours: 25 – 35 per week
