The Administrative Assistant supports the general operations of the Facilities and Maintenance department through a variety of clerical and organizational tasks. The Administrative Assistant is involved with keeping records, maintaining paperwork, scheduling meetings, and answering phones. The Administrative Assistant also performs special projects as requested.

Responsibilities:
Maintain department files.
Answer multiple phone lines, transfer calls, and record messages.
Photocopy, fax, and distribute incoming mail.
Maintain department purchase order requests.
Run periodic and special reports as directed by supervisor.
Prepare correspondence (letters, memos, protocols, conferences, etc.).
Maintain and update program documents and manuals.
Schedule and follow-up on projects and requests.
Document program meetings.
Qualifications:
Experience/education requirements:
Bachelor’s degree OR
Associate degree or equivalent + 1 years of applicable work experience OR
High school diploma/GED + 2 years of applicable work experience.
Applicable work experience includes any paid or unpaid experience in an administrative capacity requiring customer service, data entry, ability to prioritize multiple projects within strict deadlines, and/or coordination with multiple departments.
Experience with office management, daily operations, and electronic databases.
Strong computer skills; proficiency with Word and Excel.
Detail-oriented.
At least 21 years of age.
TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements.
Valid driver’s license, clean driving record, and insurability through Seneca Family of Agencies’ insurance policy.

Schedule
Full-Time; Monday – Friday 9:00am – 5:00pm
Hybrid
Travel to Oakland office as needed.
Benefits
Starting at $25.46 – $27.96 per hour.
Actual salary dependent on creditable experience above the minimum qualifications.
Additional compensation upon passing bilingual proficiency exam.
