UW Bothell has an outstanding opportunity for a Facilities Operations Assistant (Administrative Assistant 2).

Basic Functions:

This position will act as a point-of-contact for general support and customer service to employees, internal and external customers, vendors, and all visitors to the Physical Plant Office. We are seeking a candidate with strong attention to detail and time-management skills who can be adaptable to work in both office and front reception environments. This position has multiple competing work demands and requires well-developed prioritization and organizational skills. Reporting to the Director of Administrative Services, the Assistant will have the following primary administrative responsibilities:

Facilities Office Coordination:

Answer Facilities Services main phone line; retrieve voice messages then relay to appropriate personnel and/or record information as needed.

Serve as a front-line customer service representative and be the first point of contact for the campus community, contractors/vendors, and the general public for facilities-related issues.

Independently manage complex calendars for the Senior Director and Director by assessing priorities and using sound judgment in scheduling and rescheduling appointments and meetings as necessary. Anticipate and collect essential information in preparation for the meetings as well as dissemination of meeting materials and minutes.

Prepare facilities correspondence and email announcements to the campus community, create and communicate Facilities Services-related signage or notices, etc.; proofread and edit materials for accuracy and appropriate level of professionalism.

Coordinate department-related functions, such as staff meetings, training, workshops, team building events, farewell gatherings, potlucks, etc.

Maintain the Facilities Services listservs, update contact information, and approve message distribution.

Process reimbursements for events, travel, and business purchases.

Assist with department new employee searches and recruitment.

Receive/sort/distribute incoming mail and deliver outgoing mail/packages to the campus mail room as needed; assist with arranging for UPS/FedEx mail pick up or delivery as directed.

Maintain and receive office supplies inventory; assist fiscal staff with information for purchasing via eProcurement.

Provide administrative support to the Leadership Team and the Health & Safety Committee meetings.

Maintain complex electronic or manual file systems.

Backup the Program Coordinator Lead with monitoring and responding to the facilities mail inbox and new work order requests.

Building operations:

Monitor and update campus building hours; post to buildings and within the university’s Content Management System.

Maintain key box and corresponding key list for reference; replace and/or make new key tabs as necessary; manage contractor keys and daily parking permits check-out log according to department policy and procedures, audit master keys on a regular basis.

Provide building coordination for Physical Plant, and to other campus buildings as needed.

Evacuation Warden for Physical Plant.

Maintain the Emergency Response Plan and the Front Office Operations Manual for Facilities Services and Campus Operations.

Web Content:

Develop and update web content.

Conduct regular reviews of the Facilities and Campus Operations web pages.

Create accessible documents for ADA compliance.

Disseminate web analytics to unit Directors for review of their web page activity.

Requirements include:

High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience.

Additional Requirements include:

Advanced experience with Microsoft Office Suite (Microsoft Word, Excel, Outlook, SharePoint, and PowerPoint), complex calendar management, and the Internet.

Ability to prioritize work based on knowledge of office needs. Ability to work in an organized and professional manner under multiple deadlines and stressful situations; uphold the professional protocol set by the office and handle sensitive information in an appropriate manner.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Demonstrated organizational proficiency and interpersonal skills to prioritize work under deadlines and stressful situations; must be able to work successfully in a team environment as well as independently. Self-starter and able to manage competing priorities and communicate effectively.

Conditions of Employment:
