Brokerage Coordinator
Job Description Summary
The Brokerage Coordinator will work closely with brokers, internal marketing professionals, and other service lines. The role supports business development activities, strengthens client relationships, and assists with project deliverables throughout the project life cycle.
Key Responsibilities:
Business Development and Financial Support
Collaborate with Deal Desk to understand and submit deals accurately.
Maintain files, including documents from operations staff, managing principal, billing packages, lease agreements, commission agreements, vendor contacts, licensing info, and certificates of insurance.
Assist with tracking opportunities, listings, deal expenses, and management in Engage/Salesforce.
Monitor and report on deal-related expenses and budgets, escalating issues as needed.
Gather documentation for Deal Desk and Revenue Accountant.
Manage expense reports for fee-earners, ensuring reimbursement compliance.
Allocate expenses to deals or codes and track against budgets.
Coordinate with local operations for expense reimbursements.
Administrative Duties
Organize meetings and events.
Ensure compliance with company policies.
Manage contacts and distribution lists.
Generate and maintain confidential reports, correspondence, presentations, and materials supporting brokers.
Update vendor information in Workday.
Plan and coordinate internal and external events, including catering and invitations.
Maintain organized file systems.
Perform general administrative tasks, including travel coordination and expense reporting.

Required
Experience and Skills:
Bachelor’s Degree preferred.
1-3 years in the real estate industry or 3-5 years in related business experience.
Proficiency in Microsoft Word, Excel, PowerPoint, Adobe Acrobat.
Experience with Adobe InDesign or similar software is a plus.
