Job Description Summary
The Brokerage Coordinator will report to the Operations Manager and serve as support for the fee-earner and/or team. This position is responsible for managing client service activities such as pitches, proposals, transaction support, and administrative support for fee-earners. The Coordinator will interact with various departments within the organization to ensure client needs are met.
Responsibilities:
Collaborate with the Centers of Excellence (COE) to create and edit marketing materials and presentations, including flyers, leasing proposals, case studies, property tours, surveys, email blasts, invitations, and website content using Adobe InDesign.
Edit brochures, flyers, and floor plans for exclusive listings and oversee printing and binding.
Partner with COEs to prepare listing presentations and broker opinions of value.
Design, animate, and produce client presentations, incorporating graphics and photo adjustments.
Create site plans and floor plans with Adobe InDesign as needed.
Manipulate and annotate aerial and map data in PowerPoint.
Support content creation timelines and production cycles.
Assist in drafting, reviewing, and analyzing lease and sale documents, maintaining edits, and updating Salesforce.
Coordinate with departments and utilize resources based on fee-earner needs.
Provide marketing, transaction, and administrative support.
Prepare deal documents and submit for processing.
Manage expense reports for fee earners.
Assist with client event preparations.
Perform other administrative tasks as required.
Exercise discretion and independent judgment in job duties.
Qualifications:
Bachelor’s degree.
At least 3 years of experience in administrative or marketing roles.
Excellent communication skills, both oral and written, with experience in creating and editing marketing materials.
Advanced proficiency with Microsoft Office Suite.
Proficiency with Adobe Creative Suite, especially InDesign, is preferred.
Detail-oriented, organized, able to prioritize, handle multiple projects, and work independently in a fast-paced environment.
Strong interpersonal skills.
Customer service mindset.
