Role Description
We are looking for a detail-oriented and proactive Business Administration Executive to support our day-to-day operations and ensure administrative efficiency across the organization. This role involves coordinating cross-departmental activities, managing documentation for grants and tenders, and maintaining well-organized records.
The ideal candidate is resourceful, highly organized, and capable of handling multiple responsibilities in a fast-paced environment.
Skill & Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field (or equivalent experience)
- At least 1 year of experience in business operations, project administration, or general admin support
- Strong organizational skills and attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); knowledge of Google Workspace is an advantage
- Good communication and interpersonal skills
- Ability to manage multiple tasks, meet deadlines, and prioritize effectively
- A team player who can also work independently with minimal supervision
- Proactive problem-solving attitude and a willingness to learn
Responsibilities
- Assist in day-to-day business operations, including scheduling, coordination, and general administrative support
- Support the preparation of grant applications, including gathering documentation, filling forms, and following up on submissions
- Assist in sales support activities including (but not limited to) tender preparation, vendor registration, project listing & tracking.
- Conduct dataroom and document cleanup, ensuring file systems (physical and digital) are properly organized and up to date
- Assist in record filing and document management, both hardcopy and electronic
- Support in tracking deadlines, submissions, and deliverables across projects and administrative processes
- Help prepare business reports and presentations as required
- Assist in data entry and verification tasks for internal systems and databases
- Coordinate with various departments to gather information and ensure administrative compliance
- Participate in internal meetings and take meeting notes/minutes when required
- Provide general support to Finance, HR, or Sales teams as needed
Salary Range: RM2,500 – RM3,500
