STATEMENT OF THE JOB

The City of Bullhead Human Resources Office is seeking an individual who can provide superior administrative support. The ideal candidate will excel in managing records, event logistics and various departmental accounting tasks. Additionally, they should be skilled in answering telephones, handling mail, providing customer support, and conducting research. The HR Administrative Assistant provides administrative support work that entails greater variety, complexity, sensitivity, exposure, and autonomy. This role will report to our Human Resources Director with a dotted line to the Human Resources Generalist and does not exercise supervision over others.

EDUCATION & EXPERIENCE/LICENSING & TRAINING

EDUCATION & EXPERIENCE:

Graduation from a high school or GED, supplemented by the equivalent of two years of college-level training.
Four (4) years of related experience.
Proficient in various computer programs and web-based tools.
Skilled in carrying out assigned projects to their completion and performing multiple tasks with numerous interruptions.
Any equivalent combination of education and progressively responsible experience which provides the knowledge, skills and abilities necessary to perform the work.

LICENSING & TRAINING:

Valid State Driver’s License
National Incident Management System (NIMS) training based on assignment.
Continued employment contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.

ESSENTIAL FUNCTIONS/KNOWLEDGE/SKILLS/ABILITIES

ESSENTIAL FUNCTIONS:

Efficiently manages records and filing systems, processes accounts payable, purchasing and other financial tasks, coordinates event logistics, plans meetings and travel arrangements, manages personal calendar, records meeting minutes, handles mail, and helps ensure smooth operations and communication.
Assists with special projects and events, drafts the bi-weekly newsletter, maintains department website, maintains inventories and procedures, responds to inquiries, and ensures adherence to policies and procedures.
Works closely with department personnel to assist with onboarding and offboarding of employees, personnel actions, aids in data gathering and interpretation, benefits programs, conducts research, supports management, ensures compliance with regulations, and fosters positive communication and teamwork within the department.

KNOWLEDGE OF:

Modern office practices and procedures.
Working knowledge of computer word processing, spreadsheets, and database software programs.
Business English, spelling, and grammar.
Recordkeeping and filing procedures.

SKILL IN:

Operating personal computer and computer software, along with office equipment: calculator, telephone, fax machine, and copy machine.
Correct business grammar.
Strong organizational skills.

ABILITY TO:

Organize and plan the work of an office.
Communicate effectively verbally and in writing.
Establish and maintain effective working relationships with applicants, employees, City officials, and the general public.
Maintain confidential and sensitive information.
Carry out assigned projects to their completion.
Produce written documents with clearly organized thoughts using proper sentence structure, punctuation and grammar.
Ability to enter data or information into a computer terminal, PC or other keyboard device.
