Job Profile for Business Assistant
Responsibilities will include, but not be limited to:
- Collect, maintain, and analyse HR data, metrics, and KPIs
- Prepare HR reports, dashboards, and statistics for senior management, audits, and compliance reviews
- Manage HR systems, particularly SAP SuccessFactors, and maintain data integrity
- Coordinate domestic and international travel, including flights, accommodation, visas, ground transportation, and itineraries
- Handle travel changes and cancellations within company policy and budget
- Schedule and coordinate meetings, interviews, and events, including agendas, briefing materials, and logistics
- Record meeting minutes and track follow-up actions
- Provide diary management and executive-level support
- Act as the primary point of contact for stakeholders, and screen and prioritise incoming communications
- Handle sensitive and confidential information with discretion
- Manage employee expenses, including submission, approval, and reconciliation
- Support budget planning, tracking, and cost forecasting
- Create, manage, and track Purchase Orders, and process and reconcile invoices with Finance and vendors
- Prepare financial and operational KPIs, and support month-end and ad-hoc reporting
- Prepare presentations and maintain documentation standards across reports and correspondence
Candidate Profile for Business Assistant
- Must be fluent in English, both written and spoken. Knowledge of Dutch is a plus
- Bachelor’s degree or equivalent professional qualification
- Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
- Hands-on experience with HR systems, particularly SAP SuccessFactors, is highly desirable
- Proven experience as a Business Assistant, Executive Assistant, or similar role
- Experience supporting finance activities such as expenses, POs, invoicing, and budget tracking
- Excellent organisational and time-management skills
- Strong analytical skills with close attention to detail
- Ability to multitask and prioritise effectively under pressure
- Professional, confident verbal and written communication skills
- High level of discretion, confidentiality, and integrity
- Proactive problem-solver with a flexible, can-do approach
- Strong stakeholder management and interpersonal skills
