Full Job Description

Under the direction of the Director of Finance and Operations, serve as the Business Office Assistant for the UCLA Lab School’s Business Office and will provide a wide variety of financial and administrative support.The Business Office Assistant will provide administrative support including, but not limited to UCPath fiscal transactions, Bruinbuy processing, Pcard reconciling, Concur travel transactions, and assisting with foundation fund management. Other general office duties include answering general inquiries directed to the Business Office, performing administrative tasks, gathering data for various projects, interacting with other campus units on behalf of the school, and assisting with special assignments as needed. The Business Office Assistant is an integral member of the Business Office team whose support is essential to the successful administration of the business and financial functions of UCLA Lab School.Housed under the newly developed University Consortium of Schools (previously PreK-12), the UCLA Lab School is an innovative school for children ages 4-12 and a laboratory for teachers and researchers in the School of Education & Information Studies (SE&IS) at UCLA. The Business Office manages and supports an annual budget of $11 million and manages over 100+ academic and careers employees, 30+ student workers, independent contractors, and volunteers.

Salary & Compensation

UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Salary offers at the top of the range are not common. Qualifications

Working experience with Bruin Buy, Concur expense reporting system, UCPath, and other University systems as needed. (Preferred)

Demonstrated skill with computers and various software applications, including MS Office (Word, Excel and Outlook) to create word documents, databases, and spreadsheets. (Required)

Ability to reconcile monthly financial ledgers, accounts receivable and payroll records. (Required)

Skill to interpret policies and procedures to ensure purchases and transactions are prepared in compliance with UCLA business policies and procedures (Required)

Ability to perform tasks with frequent interruptions and/or distractions. (Required)

Listening skills sufficient to obtain verbal information in order to compose accurate and complete messages. (Required)

Skill to establish and maintain organized filing systems for rapid retrieval of information. (Required)

Skill in speaking clearly and distinctly using appropriate English vocabulary and grammar to obtain and convey information to individuals at various organizational levels by phone and in person. (Required)

Skill to set priorities that accurately reflect the relative importance of job responsibilities. (Required)

Skill in acting diplomatically with students, faculty, staff and other campus department staff in a high-volume, high-pressure environment. (Required)

Ability to maintain a supportive and constructive attitude to maintain good working relationships and interactions with all internal and external campus personne (Required)
