BRIEF DESCRIPTION:
The purpose of this position is to provide clerical support to Property Management and Lake Lot departments and departmental activities. This is accomplished by receiving and screening calls from citizens and departments, assisting callers and visitors to the office, greeting and directing callers and walk-in visitors to the appropriate departments for additional assistance, typing correspondence, set up work project folders, copy, fax materials and documents, notarize documents as needed, maintain office supply inventory, prepare payment authorizations, and purchase orders. Take lease payments for Lake Lot Administration and make bank deposits. Other duties include maintaining filing system for the department, coordinating projects as assigned, prepare bi-weekly payroll for the department, and maintain timesheet records for the department. Work on projects as assigned by the Property Administrator. Will serve as back-up as needed for the lien and lake lot positions by answering questions, taking payments and researching problems regarding those areas. Will require extensive work with the Excess Trustee Property by keeping it updated, confirming sales amount, preparing documents, calculating tax percentages and expenses to determine the disbursement among the three taxing entities, prepare documents for filing at the courthouse and mailing filed deeds to new owners. Maintain Excel spreadsheets to update and track the mowing, demolition, and cleaning expenses incurred by the City to determine reimbursement. Maintain an Excel spreadsheet of all easements and detention facilities received from other city departments for filing in the County Clerk’s office. Mail out invoices for grazing leases, parking leases and other types of leases.

Pre-employment test keyboarding (typing speed) preferred score is (45). Proficient in Microsoft Excel and Word. Pre-employment Excel test will be given.

3 L Provides clerical support by answering phone, typing various correspondences, set up spreadsheets, copying and faxing, maintain filing system, maintain list of properties available for sale, prepare payment authorization for department, make deposits for the department, order office supplies, prepare time sheets for department, and maintain records.
4 L Projects: prepare spreadsheets, Excel, maintain as changes occur, prepare and label individual files, type correspondence as assigned by Property Administrator, maintain files and track progress as determined by Property Administrator, copy/fax files or correspondence as needed.
5 L Receiving payments: take in payments for Lake Lot leases, update computer entries yearly as payments are collected, payments received in person and by mail, make bank deposit, answer telephone inquiries reference payments due..
