What We’re Looking For:

The Washington Federation of State Employees (WFSE) is recruiting to fill a vacancy in our Communications Department for an Administrative Assistant position located at Olympia Headquarters. This position reports to the Director of Communications and provides high-level support to the Director and the Communication Staff. The Administrative Assistant handles all administrative functions of the Communication Department, assists with the daily operations, and works with the Communications Specialist(s), Print Shop Senior Printer, and the Print Shop Assistant to accomplish department goals.

Essential Functions

Maintains the Communications department’s filing system.
Maintains and updates the WFSE website, www.wfse.org, positions.
Creating emails in Action Networks for the Communications Specialist or the Director to review and approve.
Schedules meetings between the Communications staff and WFSE staff.
Assists the Print Shop, as needed.
Provides WFSE staff with branding guidance and best practices for swag and print material such as banners and business cards.
Administers the Communications Department budget, including scheduling Committee meetings and tracking attendance, along with emailing member release requests to employers as needed.
Email official notice, previous meeting’s notes, solicitation for agenda items, agenda, reminder notice, and any necessary documents to the committee prior to the next meeting.
Supporting the Communications Department at events as needed.
Supporting Action Network usage for staff, including creating new accounts, setting permissions, and scheduling monthly and 1:1 training.
Maintaining Communications Department vendor passwords.
Report Communication “Vital Stats” with monthly reports on social media analytics, email data, Google analytics statistics, and Comms card stats.
Responsible for refreshing content in the WFSE-related databases, programs, and platforms.
Sends newly collected personal emails to the Data Department.
Proofs materials as needed.
Other duties as assigned.

Required Qualifications:

Five (5) years of progressively responsible experience in office/clerical, secretarial, or general administrative work.
Knowledge and experience in office machines, Microsoft Office Suite, business management practices, and research methods.
Highly organized and capable of juggling multiple projects simultaneously.
Strong oral and written communication skills.
Ability to work under pressure.
Meticulous attention to detail.
May be called upon to carry and move up to twenty (20) pounds of weight.
Valid Washington State driver’s license.

Desirable Qualifications:

Strategic Research – literature review, survey development, data collection, data analysis. Ability to create and complete corporate or agency profiles based on corporate strategic organizing principles.
Data Analysis – familiarity with Survey Monkey, Google Analytics, and Action Network.
Data Visualization – Adobe Creative Suite, Publisher, SharePoint, etc.
Understanding of basic labor organizing principles and working experience in a Union.
Excellent interpersonal skills.
Ability to work independently.

Special Note:

This position is overtime eligible.
Selected candidates are expected to live within commuting distance of their assigned work location and Washington state.
This position is eligible for overtime and may be required to work some weekends.
Travel is usually limited to the designated area of responsibility.
Must have a valid Washington State driver’s license.
A motor vehicle report and a background check will be conducted as a condition of employment.
Benefits include 12 paid holidays, annual and sick leave, a $150 monthly cell phone allowance, medical/dental/vision, life and long-term disability insurance, 401K, Pension Plan, personal holidays, and more.
The salary range is $ 60,931 to $70,534 and will be determined commensurate with experience.
