Administrative Specialist
Anticipated Salary Range: $38,000-$50,000

The State Corporation Commission (SCC) seeks an Administrative Specialist to support the operations of the (BFI) Records Center. The Records Center promotes the confidentiality, integrity, and availability of the BFI’s official records and supports the records needs of 85+ full-time BFI employees. The Administrative Specialist assists with confidential and highly sensitive files and data tied to roughly 100,000 current and former financial institutions subject to BFI’s regulatory jurisdiction. Records include application files, examination reports, corporate records, and general correspondence. This position offers a hybrid schedule and opportunities to attend job-related training.
Essential Duties and Responsibilities
Collaborate with BFI’s management team to perform divisional records management and governance processes
Provide information and track records to meet regulatory needs, comply with subpoenas, and respond to public inquiries
Prepare application approvals, amendments, corrections in OnePoint, and distribute company approval licenses and certificates
Review and compare all information related to Orders, Delegated Authorities, and transmittal letters to ensure accuracy and alignment with the data in NMLS and FIIS
Digitize paper records, perform accuracy reviews, and track and monitor records in SharePoint
Enter regulatory and judicial actions into NMLS and FIIS, along with any other administrative tasks as requested
Serve as backup for ordering supplies, entering data for DC, making deposits, and reviewing ARMICS in May
Perform related work as required
Preferred Qualifications
Professional experience in records management or providing administrative support
Strong organizational skills and attention to detail
Ability to effectively multitask and manage competing priorities
Ability to exercise initiative and maintain confidentiality and discretion
Ability to express ideas clearly, both verbally and in writing
Ability to establish and maintain professional working relationships and provide superior customer service
Proficiency in Microsoft Office products
Experience with SharePoint, FIIS, document imaging, records management systems, and/or NMLS is a plus

Located in downtown Richmond, the (SCC) is an independent state agency with regulatory authority over public utilities, insurance, state-chartered financial institutions, investment securities, retail franchising, and utility and railroad safety, as well as serving as the state’s central filing office for businesses. The SCC is also charged with administering Virginia’s health insurance marketplace. The SCC’s structure is unique.
