Job description
Atlantic Pipe Services is seeking a reliable Administrative Assistant to handle various administrative and clerical tasks. Responsibilities include providing support to managers and staff, managing office activities, and organizing travel and meetings. The ideal candidate should possess strong communication skills, proficiency in MS Excel, and experience in administrative roles, preferably within the construction industry. The primary goal is to ensure the seamless operation of our office daily. Responsibilities
Answer and direct phone calls
Payroll data entry
Utilize the company ERP software.
Organize and schedule appointments
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Maintain office policies and procedures
Maintain contact lists
Book travel arrangements
Submit and reconcile expense reports
Provide general support to visitors
Act as the point of contact for internal and external clients
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Goforms (internal forms)
Vehicle Inspection Logs
Fuel Log
Time Keeping for Payroll
Receipts
Inventory – Ordering and Tracking
Skills
Proven experience as an administrative assistant or office admin assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree: additional qualification as an administrative assistant or Secretary will be a plus
Job Type: Full-time
Pay: $17.00 – $20.00 per hour
