About the Role: As the Business Owner’s primary point of coordination, you will need to be very detail-oriented, a great communicator, and a great note taker. You will be an initial and ongoing point of contact for clients, which includes answering incoming calls, reviewing emails, and managing calendars for client appointments. You will handle administrative tasks such as: HR duties, payroll, and vendor management (initial communication, paying invoices, managing office supplies, etc.). You will need a basic understanding of technology and be willing to learn the firm’s preferred programs, which include a task manager and Client Relationship Manager. You will be asked to be proactive and timely in completing tasks assigned to you, which will include tracking the progress of those tasks from initiation to completion. Our ideal candidate will enjoy and have a passion for helping clients make better financial decisions to have the flexibility and options to achieve the most important things they want to accomplish in their lives.

Qualifications and Requirements:

At least 2 to 5+ years of relevant experience. Experience in administratively supporting and managing a small business preferred
Dependability and punctuality are a must
Working hours in the office Monday-Friday 8 AM-5 PM
Ability to operate standard office equipment, including but not limited to computers, printers, copiers, scanners, etc.
General knowledge of office management practice and procedures
Proficiency and experience using Microsoft Word, Excel, Outlook and Teams

Example of job duties (this is not an exclusive list):

Be the first person at the office to get the office set up for daily operations and follow up on any client calls, emails or needs
Receive client calls and emails, perform any follow-up as much as possible and then follow up with appropriate staff, as applicable
Coordinate office activities and schedules
Communicate effectively with clients, including confirming client visits and sending web conference emails
Maintain with care sensitive client information
Interact with all members of staff to understand more about what they do for clients and our team, and how you can use that knowledge to better serve the clients
Coordinate with all members of staff to help each other complete tasks in the event of someone’s absence
Perform a wide variety of administrative duties as required by daily operations, which can include working with the IT team, compliance team, and/or other vendors as needed

Job Type: Full-time

Pay: $55,000.00 – $75,000.00 per year
