Role Description

This is a full-time on-site role for a Mandarin-Speaking Business Secretary, based in Sungai Besi. The responsibilities include providing clerical and executive administrative support, managing company secretarial tasks, and assisting with customer service. The role also involves effective management of communication, coordination of schedules, and providing support to the executive team as needed to ensure smooth operations.

Qualifications

  • Proficiency in clerical skills, including documentation, filing, and data organization
  • Strong communication skills, with proficiency in Mandarin and English to facilitate effective interactions
  • Knowledge or experience in company secretarial work and administration
  • Experience in executive administrative assistance and the ability to manage schedules
  • Customer service skills, ensuring courteous and effective communication with clients and stakeholders
  • Attention to detail and the ability to handle multiple tasks efficiently
  • Previous experience in a similar role and proficiency in standard office software is an advantage
  • Relevant qualification in Business Administration, Secretarial Studies, or a related field is preferred

Job Responsibilities

  • Provide clerical and administrative support, including filing, documentation, and organizing company records.
  • Assist with company secretarial tasks, such as maintaining statutory documents and ensuring compliance with regulations.
  • Support the executive team by managing schedules, arranging meetings, and preparing necessary materials.
  • Handle internal and external communications in Mandarin and English, ensuring clear and professional correspondence.
  • Respond to customer inquiries and provide courteous, efficient support to clients and stakeholders.
  • Help coordinate office operations, track deadlines, and ensure smooth workflow across departments.
  • Prepare and proofread basic documents, reports, and presentations as needed.
  • Perform other administrative duties and ad-hoc tasks to support the team and office functions.
