Role Overview – Business Support Assistant

Our Business Support Assistants play a critical role in enabling the smooth, compliant, and effective day‑to‑day operation of Velocys, with particular accountability for Houston‑based operations and senior‑level business support.

Supporting the Head of Business Support, this role provides advanced administrative, operational, and coordination support across the business. The role combines Office Manager and Business Support capabilities, with the scope, judgment, and autonomy expected of an experienced professional.

Acting as a central point of coordination for the Houston-based leadership team, office personnel and US teams, our Business Support Assistants support office operations, complex travel and logistics (including import/export), diary management, onboarding/offboarding, contracting and vendor administration, budget and finance interfaces, and process documentation. The role requires exceptional organisation, discretion, and the ability to manage competing priorities in a fast‑paced, international environment.

What You Will Bring

  • 5-10 years’ experience in senior administrative, business support, office management, or business assistant roles
  • Demonstrated ability to operate as a trusted partner, improving productivity, focus, and prioritisation
  • Exceptional organisational skills with the ability to manage multiple priorities across geographies and time zones
  • Strong sense of ownership and accountability, with a proactive, hands‑on approach
  • High attention to detail and proven ability to handle confidential and sensitive information with discretion
  • Clear, confident communication skills and a collaborative mindset
  • Strong process orientation, with experience documenting, improving, and maintaining ways of working
  • Experience interfacing with Finance, Legal, HR, IT, and external vendors
  • Comfortable working with ambiguity and evolving priorities
  • Tech‑savvy, with strong capability across Microsoft Office/SharePoint and business systems (e.g., NetSuite, CRM platforms, collaboration tools)

Key Responsibilities

Working closely with the Head of Business Support, Houston‑based leadership, and global teams, responsibilities include:

1.     Office Administrative (Houston Focus)

  • Oversee day‑to‑day Houston office operations, including workspace coordination, supplies, vendors, and hybrid/WFH support
  • Provide overall support for Houston based team
  • Act as the local office point of contact for employees, visitors, clients, and partners
  • Maintain process checklists for onboarding/offboarding, organizational changes and contractor administration.
  • Coordinate meeting logistics and space for Houston‑based and cross‑site collaboration
  • Maintain structured filing systems, templates, and document standards both hard copy and/or electronically in SharePoint.

2.     Travel, Logistics, Conferences & Expenses

  • Organise internal and external events, off‑sites, and team‑building activities
  • Coordinate complex domestic and international travel, including flights, accommodation, ground transport, and visas as needed
  • Support the import/export logistics, including shipment of equipment and samples, working with freight forwarders and customs brokers to ensure compliant, efficient delivery
  • Ensure travel and shipments comply with destination country requirements
  • Coordinate conference attendance, demonstrations, and client events
  • Manage business and cash expenses, resolving discrepancies with Finance

3.     Business Support & Communication, Budget & Finance Interface

  • Provide administrative and budget support, tracking spend and supporting forecasting inputs to Houston based Leadership Team
  • Act as an interface between business teams and Finance on operational and administrative matters
  • Raise and manage purchase orders via NetSuite
  • Support resource tracking and operational reporting
  • Supporting Microsoft SharePoint structure, data management and communication
  • Draft Internal communications and announcements using tools such as SharePoint, Teams and Canva.

4.     Contracting, Vendors & Cross‑Functional Support

  • Support Legal with document management, formatting, DocuSign workflows, and contract system maintenance
  • Assist with contracting workflows (e.g., MSAs, SOWs, POs) to enable timely access to specialist support
  • Provide administrative support to Engineering, Finance, Legal, Sales and Technology
  • Support CRM administration and sales operations tasks
  • Provide PowerPoint and presentation support company‑wide

5.     General Site, Health & Safety, and IT

  • Coordinate venues, catering, materials, and logistics for in‑person and virtual events
  • Primary point of contact for building administration regarding safety incidents, inclement weather closures, etc.
  • Support Health & Safety compliance across office, home, and remote working environments
  • Coordinate IT equipment and onboarding/offboarding with IT

6.     Special Projects

  • Support ad‑hoc strategic and operational initiatives alongside the Head of Business Support
  • Document processes and contribute to continuous improvement across business services
  • Maintain simple project tracker for functional initiatives such as policy updates, employee engagement action planning, technical/sales programs.

  • Internal: Leadership Team, HR, Finance, IT, Legal, Sales & Marketing, Engineering, Technology and wider business teams
