The Business Support Specialist is a hybrid role that supports both the operational and administrative needs of the company and the technical sales process. This role ensures a professional, well-maintained office environment while also playing a critical role in preparing quotes and proposals for prospective and current clients. This individual will interact with internal teams, vendors, and clients to manage office functions and facilitate accurate, timely, and competitive quotations.

Quotation & Sales Support:

Collaborate with clients, technicians, and internal teams to assess customer needs, gather technical requirements, and support the sales process from discovery through solution design.

Prepare detailed, client-focused quotes and proposals by understanding customer requirements and working closely with Sales Engineers and Account Managers.

Maintain up-to-date knowledge of company products and services through ongoing training and represent the company professionally in client communications and presentations.

Accurately log work hours, leave time, and client interactions in Autotask or designated systems to support accountability, reporting, and seamless sales support.

Be a primary or secondary resource for site surveys or other means of information gathering.

Administrative & Office Management:

Answer incoming calls and greet visitors in a professional and friendly manner.

Answer the door and assist clients with walk-in forms.

Create service tickets and route client partner requests appropriately.

Schedule internal meetings and support company-wide event planning (e.g., luncheons, celebrations).

Receive deliveries, manage incoming/outgoing mail, and maintain the visitor log.

Monitor and replenish approved office supplies; approve orders within established guidelines.

Manage janitorial and landscaping crews and oversee the professional appearance of the office.

Maintain appearance in common areas such as the kitchen, conference rooms, bathrooms, and refrigerator.

Track and manage assigned support tickets.

Maintain company and client files according to policies and procedures.

Support department mailings, document preparation, and other administrative projects.

Run errands (e.g., bank, post office) as needed.

Oversee company vehicle maintenance, tag renewals, and service scheduling.

Scan checks to the bank as needed.

Perform other office functions as assigned.

Requirements:

A bachelor’s degree and a minimum of 3 years related job experience is required.

Proven experience in office administration and sales support.

Strong organizational and multitasking skills.

Excellent communication and interpersonal skills.

Proficiency in Autotask or similar systems.

Ability to work independently and as part of a team.

Detail-oriented with a focus on accuracy and efficiency.
