Administrative Assistant

We are seeking an experienced Administrative Assistant to support our Administrative and Finance teams. The ideal candidate is detail-oriented, highly organized, and proactive, with strong technical skills and a positive attitude.
Key Responsibilities:General Administrative Support:
Track and provide customer order updates.
Manage website tasks, including daily backups, updates, and project coordination.
Assist the warehouse with ShipHawk Warehouse Management System transactions as needed.
Update product and pricing information across all B2B and B2C platforms.
Cross-train with other administrative and sales support roles for coverage.
Collaborate on corporate growth and expansion projects.
Process inventory updates and assist with data management.
Handle additional tasks or projects as assigned.
Bookkeeping & Financial Support:
Process accounts receivable and accounts payable entries.
Generate and manage customer Click-to-Pay links.
Follow up on outstanding accounts receivables via phone and email.
Post daily credit card deposits and maintain financial records.
Update internal sales and profit tracking spreadsheets.
Maintain customer tax zone records and resale certificates.
Assist the sales team in obtaining payment information for orders.
Support the Controller with reconciliations and financial projects as needed.
Qualifications:
Education: Bachelor’s Degree (preferred).
Experience: 1+ years in an administrative role (preferred).
Strong proficiency in Microsoft Office Suite, particularly Excel.
Excellent organizational and multitasking skills.
Self-motivated with a positive, team-oriented attitude.
Adaptable, resourceful, and able to take initiative.
Strong verbal and written communication skills.
Ability to work in a fast-paced, small-business environment.
