Job Overview:

The Executive Assistant will assist the management team in overseeing daily operations and ensuring efficient communication across departments. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.

Key Responsibilities:

Administrative Support:

Manage calendars and scheduling for management team members.

Prepare and organize meeting agendas, take meeting notes, and track follow-up actions.

Handle correspondence, including emails and phone calls.

Maintain files, records, and documentation related to various projects.

Project Coordination:

Coordinate and monitor project timelines, ensuring that deadlines are met.

Track progress on ongoing initiatives and report updates to the management team.

Assist in the planning and execution of projects, including coordinating resources and schedules.

Communication:

Serve as a liaison between departments, ensuring smooth communication and timely dissemination of information.

Facilitate meetings and conference calls with internal and external stakeholders.

Prepare reports and presentations for management as required.

Event and Travel Planning:

Assist with organizing internal and external events, including company meetings, workshops, and conferences.

Coordinate travel arrangements, including booking flights, accommodations, and ground transportation.

Team Support:

Provide support to various teams within the organization, including human resources, operations, and finance.

Help with resource allocation and assist in resolving operational issues.

Assist in budgeting and tracking expenditures related to projects.

Problem-Solving:

Identify and address issues that arise within the department or between departments.

Proactively propose solutions to improve workflows, efficiency, and communication.

Data Management:

Maintain and update databases, spreadsheets, and other documentation as needed.

Ensure that all data is organized, accurate, and accessible for management review.

Required Skills & Qualifications:

Bachelor’s degree in business administration, management, or related field (preferred).

2-3 years of experience in a coordinator or administrative support role (preferred).

Excellent organizational and time-management skills.

Strong written and verbal communication skills.

Proficiency with office software (Microsoft Office Suite, Google Workspace).

Ability to manage multiple tasks and priorities in a fast-paced environment.

Strong attention to detail and problem-solving abilities.

Ability to work independently and as part of a team.

Preferred Skills:

Experience with project management tools (e.g., Asana, Trello, Microsoft Project).

Knowledge of budget management and financial tracking.

Ability to work in a cross-functional team environment.

Work Environment:

Office-based (with possible flexibility depending on company policies).

Occasional travel may be required for events or meetings.
