Summary:
The Research Administration Coordinator is responsible for coordinating the administrative activities of Research Administration (RA), which directly supports research projects conducted at Children’s and ensures that research is conducted according to the institutional, state and federal regulatory compliance requirements. A primary focus of this position is the preparation, organization and management of research study files submitted and reviewed for institutional approval, as well as provide administrative support to the department Directors, Managers and occasionally staff.
Responsibilities:
Provide clerical and administrative support to department Directors, managers and occasionally staff; schedule meetings, room reservations, meeting agendas and minutes, supply inventory/ ordering, assist with payroll timekeeping edits for Research Administration staff. Assist RA staff with travel arrangements,
Maintain/update RA contact information.
Manage centralized Research email boxes as assigned.
Provide frontline communication responding to questions and providing information, as well as appropriately directing upward communication.
Assist RA leaders with the following: 1) Maintain/track research devices 2) Onboarding/Offboarding staff including space assignments, equipment, access to shared folders, etc. 3) Updates to SOPs/Policies , 4) Electronic file transfer/scanning/storage, 5) Organizing/maintenance of storerooms and 6) Special projects, events
Provides administrative support for contracts (initial and ongoing communication with sponsors in collaboration with RA leader(s) on contract activities including contract submissions to route for execution). Maintain contract tracking/aging metrics.
Maintenance of onsite and remote monitoring visit activity including assisting with new sponsor representative access, Green Security, and annual renewals.
Provide maintenance for RA databases, SharePoint, REDCap (Intramural grants, Contracts, etc.)).
Provide maintenance for RA website; support department budget preparations, reconciliation and tracking; Assist with and track budget recovery initiatives.
Administrative support for Children’s Clinical Research Advisory Committee (CCRAC); assist with planning, preparation, notifications and progress reports on all CCRAC intramural grants.
Maintain CCRAC RedCap submission platform, CCRAC grant award documents including grant applications, correspondence, grant reviewer lists, manuscripts and presentations used in Caruth Foundation and CCRAC reports. Coordinate with Research Finance CCRAC progress reports, No Cost Extensions, and other intramural grants support activities.
Performs other position appropriate duties as required in a competent, professional and courteous manner.
WORK EXPERIENCE
At least 5 years related experience preferred
At least 2 years job related experience required
Research / healthcare-related office management experience preferred
EDUCATION
Two-year Associate’s degree or equivalent experience preferred
