Job Description:

Salary Range $95,000 – $115,000 *

Role Summary:

As the Executive Assistant, you are accountable for coordinating the activities of the Chief Executive Officer of Saks Global Properties and Investments and members of his leadership team.

The EA will be responsible for providing a wide variety of administrative support including but not limited to: successfully managing schedules, calendars, meetings and administrative projects. This dynamic position requires the ability to anticipate needs, think critically, act quickly and offer solutions to problems with a high level of professionalism and confidentiality.

Office Location & In-Office Expectations:

This role is based in our Brookfield Place offices in downtown Manhattan. This role will be required to work in person up to 5 days per week.

Role Description:

Manage calendars – prioritizing appointments and proactively resolving scheduling conflicts.
Organizes and schedules meetings, including contacting participants, booking rooms, ordering refreshments, and arranging for parking as required.
Makes travel arrangements required, including managing private & commercial flights, hotel accommodation, car rental / car services, and managing/completing all travel and expense claims
Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
Act as a liaison and handle all logistics for office meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials
Assist with special projects as needed.
Assist with producing, preparing, and collecting documents, reports, and/or presentation decks for internal and external meetings.
Assist with e-mail distribution list.
Serve as the primary point of contact for internal and external parties on all matters pertaining to the executives,
Coordinate all Executive Team meetings and assist with staff meetings and events.
Provide event management support as needed.
Manage all aspects of organization’s office services (ie supplies, mail, etc)

Key Qualifications:

Bachelor’s degree or equivalent combination of education and experience.
Minimum of 5 years of relevant experience working with and supporting an executive.
Advanced level competence with Google Suite, including Google Mail, Google Documents and Google Drive and Microsoft Office
Advanced level competence with expense management systems, communication and presentation tools.
High degree of comfort in learning new technology, software and systems.
Strong verbal and written communication skills.
High degree of professionalism in dealing with diverse groups of people, senior executives, staff, community leaders and business partners.
Extremely organized with exceptional time management skills and able to prioritize efficiently.
Ability to complete a high volume of tasks and projects with little or no guidance.
Able to maintain a high level of integrity and discretion in handling confidential information while ensuring confidentiality, diplomacy, and tact at all times.
Excellent judgment is essential.
A natural problem-solver, who is also intuitively analytical and creative.
Ability to work in a fast-paced work environment.
Paralegal experience is a plus.
