Job Summary
We are seeking a highly organized and proactive Executive Administrator to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional clerical skills, a strong understanding of office management, and the ability to handle multiple tasks efficiently. This role is crucial in ensuring smooth operations within the office and facilitating effective communication across departments.

Responsibilities

Manage executive calendars, scheduling meetings and appointments while ensuring optimal time management.
Perform clerical duties including data entry, filing, and maintaining organized records.
Utilize QuickBooks for basic financial record-keeping and reporting as needed.
Handle incoming calls and manage phone systems to ensure effective communication within the organization.
Assist with front desk operations, greeting visitors and managing inquiries professionally.
Coordinate travel arrangements and prepare itineraries for executives as required.
Prepare reports, presentations, and correspondence to support executive functions.
Maintain an organized office environment, ensuring supplies are stocked and equipment is functional.

Qualifications

Proven experience in an administrative role or similar position is preferred.
Proficiency in calendar management tools such as Outlook Calendar.
Strong clerical skills with attention to detail in data entry and document management.
Familiarity with QuickBooks is a plus but not mandatory; willingness to learn is essential.
Excellent verbal and written communication skills, with a professional demeanor when interacting with staff and clients.
Ability to multitask effectively in a fast-paced environment while maintaining high standards of work quality.
Strong organizational skills with the ability to prioritize tasks efficiently.

Pay: $55,000.00 – $60,000.00 per year
