Reporting to the New Employee Welcome Center’s Manager, this position will be responsible for the daily operations of the New Employee Welcome Center, serving as the primary point of contact for routine onboarding activities and HR-related questions. The HR Coordinator will coordinate logistics, distribute communications, processes transactions, and maintain records related to onboarding activities the New Employee Welcome Center supports in compliance with established policies and regulations.

The position will triage and respond to basic inquiries escalating more complex questions and matters to the New Employee Welcome Center Manager or Division HR. Additionally, the role will work closely with LinkUW and the Office of Human Resources’ Internal Operations team to order supplies and maintain equipment. The position will assist in the training of Student Hourly employees and may contribute to the planning, scheduling, assignment, and review of their work.

This position is expected to work onsite at a designated campus location 100% of the time.

Job Responsibilities:

  • Audits and tracks compliance for various HR functions such as performance evaluations, onboarding, off boarding, criminal background checks, and credentialing.
  • Schedules logistics and secures resources for recruitment processes, onboarding activities, payroll functions, and/or other HR related activities.
  • Manages the dissemination of HR related communications to various audiences under the direction of leadership.
  • Creates and maintains various HR specific reports, databases, and/or records to ensure compliance with established policies, procedures, and legal rules and regulations.
  • Serves as a point of contact to employees, managers, and internal and external stakeholders. Responds to inquiries and escalates more complex issues to the appropriate authorities.
  • Enter, review, and process HR transactions according to established policies and procedures.

Department:

This position is located within the Office of Human Resources in the operational area of the Administrative Services Unit. The Administrative Services Unit (ASU) provides high-quality support to both administrative and academic divisions across campus. As a centralized resource, ASU offers comprehensive and innovative human resources (HR) services. The New Employee Welcome Center is new and important initiative designed to create a more consistent and welcoming onboarding experience for new employees at UW–Madison, and will serve as a centralized hub for essential onboarding activities and HR support.

Compensation:

  • The minimum starting salary for this position is $24.00 per hour.
  • Actual pay is determined at hire and is based on experience and qualifications.

Required Qualifications:

  • Prior experience working in an administrative role in a professional office setting.
  • Excellent customer service skills, which include patience, attentiveness, clarity, as well as being timely, responsive, intuitive, positive, calm, helpful; can listen and checks for understanding.
  • Effective oral, written, and non-verbal communication skills with internal and external customers.
  • Strong computer skills and use of software applications including MS Office Suite.

Preferred Qualifications:

  • Experience in human resources or related field.
  • Ability to maintain a high level of attention to detail in an environment where distractions may occur, and multi-tasking is often required.
