About the Role

The CEO Staff serves as the direct support to the DIRECTOR in managing strategic, administrative, coordination, and daily operational activities. This position functions as an Executive Assistant / Personal Assistant who ensures that the DIRECTOR’s agenda, communication, documents, meetings, follow-ups, and work requirements are managed in an organized, effective, and timely manner.

This role requires an individual who is organized, responsive, communicative, able to maintain confidentiality, and capable of interacting professionally with internal teams, executive management, business partners, clients, vendors, and other external stakeholders.

The CEO Staff also acts as a liaison between the DIRECTOR and various parties to ensure that instructions, decisions, and work follow-ups are properly coordinated.

What You Will Do

  • Arrange and manage the DIRECTOR’s daily, weekly, and monthly schedule, including internal meetings, external meetings, business discussions, business trips, and other important agendas.
  • Prepare the DIRECTOR’s meeting requirements, including meeting invitations, meeting agendas, supporting documents, minutes of meeting, action points, and meeting follow-ups.
  • Serve as the communication liaison between the DIRECTOR and internal teams, executive management, clients, business partners, vendors, and external stakeholders.
  • Assist the DIRECTOR in preparing, organizing, and managing working documents, presentations, reports, memos, correspondence, and supporting materials for decision-making.
  • Monitor the follow-up of work, projects, instructions, and decisions from the DIRECTOR to the relevant teams.
  • Manage the DIRECTOR’s work priorities to ensure that important, urgent, and strategic activities run according to the required timeline.
  • Support executive office administration, including document filing, correspondence management, approval documents, and the DIRECTOR’s operational requirements.
  • Prepare and arrange the DIRECTOR’s business trips, including tickets, hotels, transportation, itineraries, meeting agendas, and travel administration requirements.
  • Maintain the confidentiality of all company information, documents, communications, agendas, business data, and strategic decisions.
  • Assist the DIRECTOR in cross-divisional coordination to ensure that information, instructions, and work requirements are clearly communicated.
  • Provide reminders and follow up with relevant parties regarding deadlines, pending matters, action plans, and decisions that require completion.
  • Prepare simple reports related to agendas, follow-up progress, priority task lists, and follow-up status for the DIRECTOR’s needs.
  • Support the DIRECTOR’s representative activities in meetings, events, business visits, client engagement, and other company activities.
  • Help ensure that executive office communication is professional, organized, and aligned with company standards.
  • Handle personal assistance needs related to the smooth execution of the DIRECTOR’s work activities in a professional and proportional manner.

  • Responsible for the smooth management of the DIRECTOR’s schedule, agenda, and daily activities.
  • Responsible for the readiness of documents, materials, and meeting requirements for the DIRECTOR.
  • Responsible for recording minutes of meeting, action points, and monitoring follow-ups from meeting results.
  • Responsible for coordinating communication between the DIRECTOR and internal or external parties.
  • Responsible for the timely follow-up of instructions, decisions, and work assigned by the DIRECTOR.
  • Responsible for maintaining organized administration, document filing, correspondence, and approval documents.
  • Responsible for arranging the DIRECTOR’s business trips and logistical requirements.
  • Responsible for maintaining the confidentiality of company information, strategic documents, and executive office communications.
  • Responsible for supporting the DIRECTOR’s work effectiveness through priority management, reminders, and cross-functional coordination.
  • Responsible for maintaining professionalism, accuracy, and speed in all executive assistant support activities.

What We’re Looking For

  • Minimum D3/S1 degree in Business Administration, Management, Secretarial Studies, Communication, Public Relations, or a related field.
  • Minimum 2-4 years of experience as an Executive Assistant, Personal Assistant, Secretary, CEO Staff, or in an administrative role supporting executive-level management.
  • Experienced in managing executive schedules, meetings, documents, business trips, and communication with internal and external stakeholders.
  • Strong administrative, documentation, and filing skills with a neat and detail-oriented approach.
  • Able to prepare minutes of meeting, action points, simple reports, memos, and supporting documents for the executive office.
  • Good communication skills in Bahasa Indonesia and English, both spoken and written.
  • Proficient in Microsoft Office or Google Workspace, especially Word, Excel/Spreadsheet, PowerPoint/Slides, Calendar, and Email.
  • Strong time management, multitasking, problem-solving, and follow-up skills.
  • Detail-oriented, responsive, disciplined, proactive, and able to work with tight deadlines.
  • High integrity and ability to maintain the confidentiality of both company information and the DIRECTOR’s personal information.
  • Able to interact professionally with the Board, executive management, clients, vendors, business partners, and other key stakeholders.
  • Good executive presence, well-groomed appearance, and ability to conduct oneself appropriately in formal situations and business meetings.
  • Comfortable working in a dynamic, fast-changing environment with high work priorities.
  • Able to work independently with minimum supervision while maintaining regular coordination and reporting.
  • Takes initiative to anticipate the DIRECTOR’s needs and help resolve administrative or coordination obstacles.
