Basic Job Purpose/Function

Clerical Admin Assistant II- Elections – Auditor- Goldendale, WA – Full-time, Non-Exempt, Grade 35, Steps 1-3. $19.66-20.83/Hr. DOQ. 1st review-3/1/2024. Open until filled.

Performs intermediate to advanced, or technically difficult clerical and administrative duties requiring frequent exercise of independent judgment. Typical responsibilities include all aspects of voter registration and elections, providing information to the public, preparing reports, maintaining records and databases, and entering data into specialty programs.

Essential Job Duties

Performs and is responsible for activities related to the election process, including voter registration; issuance of registration cards, confirmation cards and ballots; petition signature validation; lawful retention and disposal of voter registration records, ballots, and ballot related materials.

Verifies and enters voter registration data into specialty computer databases. Maintains accuracy of information entered. Provides reports and exports as needed for the department and the public.

Participates in registering candidates for elective offices; accepts filing fees and declarations of candidacy. Enters candidate information in the statewide computer system.

Assists with ballot preparation, proofreading, printing, folding, assembly, sealing, envelope printing, distribution, and all aspects of ballot processing.

Researches voter registration and elections questions in the Revised Code of Washington, Washington Administrative Code, and Washington State Constitution and assists in preparing reconciliation and certification figures.

Complies with instructions from SOS and Auditor; performs all duties with exactness and conformance to procedures and policies; completes assigned tasks to meet the required deadlines.

Types, edits, and proofreads a variety of reports, forms, and documents using computer programs. Composes routine business correspondence and meeting minutes. Provides administrative support for department or committees.

Establishes, maintains, and updates files, lists, and records for computerized or manual record keeping systems. Searches files and records for information as needed.

Greets and assists the public by phone or in person. Provides general or specific information within scope of authority from knowledge of established procedures and policies, or applicable laws, rules, and regulations. Directs caller or visitor to appropriate individual when necessary.

Receives and processes payments or applications after reviewing for accuracy. Performs calculations and records transactions. Issues certificates of election, appointment, or other official certifications.

Performs other duties as assigned.

Requirements/Minimum Qualifications

Knowledge of principles, practices, and techniques and related tools/equipment to accomplish the basic function of this position, including any safety and/or legal requirements. This may, but not necessarily, include specialized skills.

Successful completion of a criminal background check prior to employment. Individuals who have been convicted of the following crimes (which include a deferred sentence) within the last ten years do not meet recruiting requirements for this position: crimes involving dishonesty, fraud, bribery, forgery, burglary, theft, robbery, assault, domestic violence, drug violations, DUI, disorderly conduct, and homicide….
