Mission Brief:

As the Administrative Specialist you’ll manage a variety of administrative functions, ensuring the smooth operation of our organization and fostering a productive work environment. You’ll work closely with key individuals in the company like the Plant Director and CFO.

The Administrative Specialist will assist office operations with the following tasks.

● Record Keeping: Help manage company records using specific naming conventions and retention methods, including all legally required documentation. Examples include records associated with recruiting, onboarding, disciplining, and terminating employees.

● Schedule Interviews: Coordinate with interviewees and interviewers during the recruitment process to facilitate an effective schedule.

● Onboarding Binders: Assist in the preparation and completion of onboarding binders and tasks.

● Process Mail: Process company mail and address any administrative tasks associated with mail received. An example would be to process company checks received in the mail.

● Administrative Daily Email: Help prepare a daily administrative email to company owners that summarizes tasks completed or items that need to be completed or coordinated.

The Administrative Specialist will assist the accounting department with the following tasks.

● Record Keeping: Help manage company accounting records using specific naming conventions and filing methods.

● Reconciling: Assist in reconciling invoice records to financial data.

● Payroll Support: Assist with data input in the accounting software for payroll setup. Answer basic payroll questions from employees like how to update a W4 or change an address in the Workforce system.

● Prepare Reports: Assist in the preparation of monthly reports like asset worksheets.

More generally, the Administrative Specialist will also be responsible for the following tasks.

● Other Administrative Tasks: Hard Head Veterans is a growing organization. Other administrative tasks will inevitably arise from that growth. The Administrative Specialist will be responsible for additional tasks as they occur.

● Continuous Improvement: Identify areas for improvement, implement process enhancements, and adapt to technological advancements.

● Computer Proficiency: Proficiency in programs like Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google workspace, and shared drives.

● Fast and Accurate Typing: Proficiency in typing which is essential for keeping up with emails, reports, and other written tasks.

● Data Entry and Management: Attention to detail and accuracy in data entry to spreadsheets, databases, and other software programs.

● Calendar and Scheduling: Keeping track of appointments, meetings, and deadlines is a core responsibility.

● Organization: It is expected that company records will be organized and retained in a consistent manner using naming conventions and filing methods deemed appropriate.

● Prioritization: Prioritizing tasks is essential for managing a busy workload.

● Communication: This encompasses both written and verbal communication. Proficiency in clearly and concisely conveying information through emails, reports, and presentations.

● Active Listening: Active listening is also important to ensure understanding instructions and requests.

● Attention to Detail: Accuracy is key in administrative work. A keen eye for detail helps avoid errors in data entry, scheduling, and other tasks.

● Problem-Solving: Unexpected situations arise in any office. Administrative specialists need to be resourceful and able to think critically to find solutions to problems.

● Customer Service: Provide excellent service to colleagues and superiors. This includes being helpful, courteous, and professional in all interactions.

● Discretion and Confidentiality: Administrative specialists are often privy to sensitive information. Discretion and trustworthiness are essential to maintaining confidentiality.

● Hourly range based on experience $19 – $23
