Job Title: Administrative Coordinator

Reports to: CEO

Job Summary: The Administrative Coordinator is responsible for providing professional and timely administrative support to Forward Leading IPA (FLIPA) leadership team.

Organizational Overview: The Forward Leading Independent Provider Association (FLIPA) is a nonprofit membership association of safety net providers working in partnership to provide the highest quality healthcare to the most vulnerable populations in Upstate New York since 2017. FLIPA is renowned for its commitment to integrating primary care and behavioral health. Our growing membership includes a combination of federally qualified health centers (FQHCs), behavioral health providers, and a rural health network across more than 27 counties.

Security Level: Standard – FLIPA

Duties/Responsibilities:

Works closely with the FLIPA leadership to maintain a knowledge of existing programming and needs
Attends monthly committee meetings and other workgroup meetings as requested
Documents and follows up on important actions and decisions by transcribing minutes of all meetings
Assists with preparation and email distribution of all pre- and post- meeting materials, including agendas, slide decks and minutes
Assists with the planning and logistics of the annual meeting and other in-person gatherings
Prepares and edits correspondence, communications, presentations and other documents
Maintains Outlook office calendar, schedules all Zoom meetings, invites attendees and tracks monthly attendance
Maintains committee contact lists and email addresses, ensuring all details are accurate and current
Obtains electronic signatures from membership for contracts, MOUs, letters of support, etc., utilizing Adobe Pro
Maintains FLIPA digital server, including organizing, filing, and retrieval of electronic files and folders
Maintains systems for recording and tracking grant proposals, awards, and related information
Adheres to all grant, proposal and reporting deadlines. Ensures that progress reports and associated compliance information is submitted on time
May execute a communications strategy that utilizes a broad, cost-effective range of platforms to grow awareness and brand recognition among target market segments
Regularly updates and refreshes FLIPA’s website
Other duties as assigned

Education & Experience:

Bachelor’s degree in related field, or equivalent experience required
Minimum 10 years of related experience required

Skills, Knowledge, and Abilities:

Excellent writing and organizational skills
Highly proficient with Microsoft Office Suite, including Microsoft Teams
Expert level Outlook and Calendar skills
Experience with Zoom conferencing software
Strong technology and computer skills; able to learn new software and applications quickly
Flexible, adaptable style that takes in stride last minute changes and project pivots and thrives on creative problem-solving. Able to work quickly and efficiently
Strong interpersonal skills, independently resourceful and thrives in a fully remote environment

Salary Range:

Salary is commensurate to education and experience with a range of $45,000 – $60,000

Additional information:

This position will be remote with periodic required in-person meetings.

Job Type: Full-time

Pay: $45,000.00 – $60,000.00 per year
