Job Description:

We are seeking a highly organized and detail-oriented Office Administrator / Bookkeeper to do general bookkeeping and provide direct support to the Chief Executive Officer.. This role requires exceptional communication skills and the capacity to manage intricate projects effectively.

Key Responsibilities:

Responsible for answering phone calls, maintaining and ordering office supplies, equipment purchasing and repairs, and IT requests.
Utilize Quickbooks Online for accounts reconciliation, A/R, A/P, and financial reporting
Work closely with the CEO to manage daily administrative and operational tasks.
Coordinate the CEO’s schedule and travel, ensuring efficient time management.
Maintain accurate records, databases, and filing systems for executive correspondence and engagements.
Coordination of employee and organization recognition programs, including birthdays, anniversaries, holidays, and year-end celebrations.
Subject to other duties as assigned.

Qualifications:

Proven experience as a bookkeeper, executive assistant, office admin, or in a similar role supporting senior leadership.
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent verbal and written communication skills, with experience managing high-level correspondence.
Proficiency in Quickbooks Online, Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office management software.
Ability to work independently and collaboratively in a fast-paced environment.
Strong attention to detail.
Experience with donor relations and board engagement is a plus.
Bachelor’s degree in Business Administration or a related field preferred but not required.
