We are seeking a highly organized and professional Part-Time Administrative Assistant/Receptionist to manage front desk operations and provide essential administrative support. This role involves greeting visitors, answering and directing calls, handling correspondence, scheduling appointments, and maintaining office supplies and records. The ideal candidate will have strong communication skills, attention to detail, and proficiency in office software. This position requires multitasking in a fast-paced environment while maintaining a welcoming and efficient workplace.
Essential Duties and Responsibilities (Other duties may be assigned)
Receptionist Schedule
Monday: 10:00 AM – 4:00 PM (6 hours)
Tuesday: 10:00 AM – 4:00 PM (6 hours)
Wednesday: 11:00 PM – 5:00 PM (6 hours)
Thursday: 10:00 AM – 4:00 PM (6 hours)
Friday: 11:00 PM – 5:00 PM (6 hours)
Customer Service & Communication:
Greet and assist visitors in a professional and friendly manner as the first point of contact for clients, customers, and vendors.
Answer, screen, and direct phone calls, ensuring timely and courteous service.
Maintain a clean, organized, and welcoming common area, conference room and breakroom.
Administrative Support:
Manage incoming and outgoing mail, including packages.
Assist with data entry, filing, and organization of office documents.
Assist with preparation of reports, presentations, and general correspondence.
Communication:
Coordinate internal and external communications, ensuring information is relayed accurately.
Assist with handling client or vendor inquiries and requests.
Office Organization:
Maintain inventory of office supplies and order as needed.
Meal ordering and group/company event coordination.
Special Projects:
Assist with ad-hoc administrative tasks and projects as assigned by the team.
Contribute to office initiatives, events, and company-related activities.
Essential Skills & Qualifications
Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
Ability to maintain a friendly, professional demeanor at all times.
Excellent written and verbal communication skills
Strong problem-solving and critical-thinking abilities
Ability to multi-task and prioritize multiple projects simultaneously
Strong attention to detail and organizational skills
Qualifications, Education, and/or Experience
To excel in this role, the individual must effectively fulfill all essential duties. The following qualifications represent the necessary knowledge, skills, and abilities:
A high school diploma or equivalent, completion of a technical school program, or at least five years of relevant experience and/or training.
An equivalent combination of education and experience in corporate interior display manufacturing will also be considered.
Job Type: Part-time
Pay: $18.00 – $22.00 per hour
