Clerk of the Board/Executive Assistant Jobs in Santa Barbara, CA at Santa Barbara Metro Transit District

We are seeking an experienced and detail-oriented Admin / Planner to join our team. The ideal candidate will have a strong background in office management, project coordination, and customer request planning, route planning, scheduling and delegation of assignments. As an Admin / Planner, you will play a crucial role in supporting the administrative functions including BOL Preparation, Invoicing, Invoice preparation, and numerous spreadsheet and schedule management and route planning functions of our organization.

Responsibilities:

– Perform general administrative tasks such as answering phone calls, managing schedules, adjusting paperwork for billing and coordinating customer requests.

– Assist with HR tasks including employee onboarding, benefits administration, and maintaining employee records

– Coordinate and plan daily work assignments, monitor for accuracy.

– Manage office supplies inventory

– Assist Planning Department with needs, by participating in load scheduling

– Maintain electronic and physical filing systems

– Assist with special projects as assigned

Qualifications:

– Strong computer literacy skills, including proficiency in Google Suite and Microsoft Office

– Proven experience in office management or administrative roles

– Excellent organizational skills with the ability to multitask and prioritize tasks effectively

– Strong attention to detail and accuracy

– Excellent communication skills, both written and verbal

– Ability to maintain confidentiality of sensitive information

– Experience in project coordination, planning and delegation

– Previous experience as a medical receptionist or front desk clerk is a plus
