The Leadership and Planned Giving department at Oberlin College invites applications for the position of Department Technician I in the Office of Advancement. This is a full-time, 12-month, Administrative Assistant position reporting to the Associate Vice President for Advancement.

Responsibilities
The Department Technician I will be responsible for working with and providing support to the Leadership and Planned Giving officers by applying professional knowledge, skills, and understanding of the established methods and processes of the department.

Essential Job Functions
Make travel arrangements (hotel, flights, restaurant reservations, etc.), draft itineraries, schedule meetings, and assist with other related needs of the leadership and planned giving officers.
Assist with timely entry of gift officer contact reports into the database (RENXT).
Prepare materials in advance of donor/prospect visits as well as visit follow-up correspondence.
Monitor departmental budget expenditures, submit invoices for payment, and reconcile credit cards monthly in a timely and accurate manner.
Maintain and monitor the Leadership & Planned Giving email account and primary phone/voicemail systems.
Maintain staff calendars, schedule meetings on- and off-campus.
Efficiently and accurately respond to questions and requests from donors.
Discreetly handle highly confidential donor and financial information within RENXT.
Support direct mail projects by completing work order request forms; tracking expenses within the established budget process; and printing and preparing letters/birthday cards for small-scale in-house mailings.
Support gift officers in their work with reunion volunteer committees.

Marginal Job Functions
Assist in preparing PowerPoint presentations.
Coordinate purchasing of department supplies, equipment and services.
Complete gift transmittal forms.
Provide back-up administrative support to other programs in the Office of Advancement, as necessary.
Perform other related duties as assigned.

Required Qualifications
College degree or equivalent combination of experience and education, 5-7 years of progressively responsible secretarial, clerical or para-professional work experience.
Keyboarding speed of 50 wpm with emphasis on accuracy. Must demonstrate skills and abilities specific to the position and have a thorough knowledge of proper grammar, spelling and punctuation, office methods, procedures and practices.
Experience in financial record keeping, including reconciliation skills.
Excellent written and verbal communication skills, including proofreading.
Exceptional attention to detail and accuracy.
Proficient at Microsoft Office Suite and PowerPoint.

Desired Qualifications
Administrative support experience in an academic environment, specifically within Advancement/Development; or the equivalent combination of education experience.
Outstanding interpersonal skills with the ability to work collaboratively and as a team player.
Demonstrated ability to plan, manage, and monitor multiple projects simultaneously and work effectively under time constraints.
Work experience demonstrating knowledge of business procedures, including the ability to apply judgment, discretion, initiative, and to collaborate with others.
High level of proficiency with computer applications including Google communication tools, Banner, Raiser’s Edge, Adobe, DocuSign, and Zoom.

Compensation
This is a Pay Grade 6 Departmental Technician positions with an hourly rate of $26.01 ($ 50,714 annually)or the appropriate transfer or contractual rate and includes an excellent benefits package.

This position is open to both internal Ocope members and external applicants, with Ocope members received preference during the first 10 days, expiring 5/2/2024.
