Clinical Administrative Support Specialist

Responsible for retrieving existing records by gathering appropriate record folders and contents. This includes assigning and recording new record numbers, verifying existing record numbers, inputting and recording locations into the computer system, and delivering records as needed. Additionally, assists with administrative tasks such as managing correspondence, answering phone calls, scheduling appointments, and maintaining inventory levels of medical and office supplies.

Responsibilities

Maintain patient records, ensuring confidentiality and compliance with HIPAA regulations.

Facilitate the retrieval and release of patient information in response to subpoenas and records requests from other medical practices and facilities.

Scans patient information into EHR/EMR database.

Stay informed about changes in healthcare regulations and policies to ensure compliance and provide accurate information to patients and staff.

Oversee the ordering and stocking of medical and office supplies to maintain adequate inventory levels.

Coordinate patient referrals to specialists and other healthcare providers as needed.

Manage administrative tasks such as answering phone calls, scheduling appointments, and greeting patients.

Handle incoming correspondence, including emails, faxes, and mail, and distribute them to the appropriate parties.

Gather patient information by collecting demographic data from various sources and coordinating with registration areas and physicians’ offices, including retrieving information from automated printers.

Maintain the master patient index, completing assigned portions of the daily audit trail, and correcting and communicating problems according to established procedures.

Keep healthcare providers informed by communicating the availability or unavailability of the record.

Maintain patient confidence by keeping patient record information confidential and serve and protect the clinic by adhering to professional standards, clinic policies and procedures, federal, state, and local requirements, and JCAHO standards.

Provide general administrative support to clinical staff, including filing, faxing, and copying documents.

Order and maintain office supplies and equipment inventory.

Assist with special projects and initiatives as assigned.
