Position Summary:

As anAdministrative Assistant, you will provide support for the Construction Materials Testing (CMT) Department in the Pineville office. This position will work closely with the Project Administrator, CMT staff and Accounting to carry out all necessary duties and responsibilities.

Job Responsibilities:

Audit/approve weekly timesheets

Set up projects in accounting software (Deltek Vantagepoint)

Assist with monthly invoicing and weekly report distribution

Complete collections for CMT Department

Assist with tracking lab assignments and concrete report preparation

Maintain excellent communication both verbally and electronically with supporting staff

Demonstrate commitment to core values

Follow all company safety procedures and policies

Other tasks as assigned

Working Conditions & Physical Requirements:

Days and hours for this position are typically Monday-Friday, during the day

Some overtime work may be required

The work setting is in an office atmosphere

There is exposure to moderate levels of noise that could include a business office with computers and printers with light traffic throughout

Ability to use your senses to see (including close, distant and peripheral vision, depth vision and ability to focus), smell, hear and touch (use your hands to reach, climb or balance, crouch, stoop, crawl, kneel and sit)

While performing the duties of this job, the employee is regularly required to sit, walk, transport, and focus vision on the computer

This employee may occasionally lift and/or move up to 20lbs.

Must successfully pass pre-employment screenings to include background and reference checks

Qualifications & Skills:

High School Diploma

Preferred: Bachelor of Science in business, accounting, finance, or related field

Minimum of 1 year in an administrative/accounting position

Proficient knowledge and use of Excel and other Microsoft Suite programs

Preferred: previous experience with Deltek Vantagepoint/Vision

Ability to follow directions and carry out instructions in both verbal and written form

Ability to define problems, collect data, establish facts and draw valid conclusions

Ability to read, analyze, and interpret general business memos, periodicals, professional journals, proposals, technical procedures, and government regulations

Ability to write reports and business correspondence

Ability to effectively present information and respond to questions from groups of managers, employees, clients, customers and the general public

Knowledge of Microsoft Suite and additional HR programs

Must be able to use technology efficiently including computers, computer software and phones

Must be a problem solver and have the ability to think through and solve problems that may arise

Strong interpersonal and communication skills

Strong attention to detail

Planning/organizing—the individual prioritizes and plans work activities, uses time efficiently and develops realistic action plans

Adaptability—the individual adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events
