Position Highlights
The Department of Environmental Sciences and School of Plant Sciences is seeking applications for an Administrative Support Assistant III. The successful candidate will provide administrative support to both academic departments and Unit Heads/Directors and will possess strong time management skills and the ability to work both independently and as part of a larger administrative team, including faculty, and staff. The Administrative Support Assistant III, will be expected to take initiative, communicate effectively, and maintain a high level of professionalism while supporting the Department’s needs. This position, time permitting, will also assist the business office team, who also support both academic departments. This position can have a hybrid schedule and will be based upon office coverage needs.

Duties & Responsibilities
Provide administrative support to the Department Head and School Director, along with any Associate Heads, or Associate Directors. This includes, but is not limited to, communicating on behalf of supervisors, managing calendars, appointments, UA Vitae, scheduling annual reviews, coordinating website updates, and travel.
Provide general administrative support to departmental activities and personnel, including but not limited to making room reservations, orders, or other departmental needs.
Sort incoming mail and packages, notify faculty and staff, printing of shipping labels, and assisting with general department equipment.
Lead support for Promotion and Tenure Process for both units.
Provide support for business activities.
Reconcile Pcard purchases.
Provide backup for other financial transactions, such as: Disbursement Vouchers (DV) for travel, expenses; General Error Corrections (GEC).
Manage building access, schedule department meetings, manage inventory and vehicles (including driving vehicles to/from motor pool).
Knowledge, Skills, and Abilities
Knowledge of administrative systems such as calendar management
Experience with group communication techniques
Basic experience with website updates/revisions
Experience with simple financial transactions
Problem-solving skills and techniques
Minimum Qualifications
High school diploma or high school diploma equivalency is required.
Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
Preferred Qualifications
Experience with following activities in UA systems:
Financial: Pcard reconciliation/travel-expense reimbursements/GECs
Administrative: Scheduling meetings/managing calendars

Notice of Availability of the Annual Security and Fire Safety Report
In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University’s campuses. These reports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
