Position Summary
Works under limited supervision to coordinate and assist activities relative to the operations of the Register of Deeds office. Provide accurate information and assistance to customers, which includes responding to inquiries, problem-resolution, and processing all deeds and related documents in the Register’s office. To perform administrative support functions in accordance with policies and procedures, including analytical work, training, addressing complaints, and resolving problems.
Pay Grade: 48
Salary Commensurate with Experience and Education
Minimum Qualifications
1. Three (3) years administrative/customer service experience, including working with legal documents pertaining to real estate transactions, mortgages, or related field; AND
2. High school diploma or possess a GED; OR
3. An equivalent combination of related education and/or experience.
4. PROOF OF EDUCATION, TRAINING, OR EXPERIENCE IS REQUIRED.
Duties and Responsibilities
1. Examines, reviews, and interprets legal documents to determine proper fees and taxes to be collected and ensures statutory requirements are met under the law.
2. Researches and verifies the accuracy of documentation such as property title records, property ownership, public records, deeds, leases, surveys, contracts, and agreements.
3. Assists Manager in providing training to staff personnel regarding the processing and indexing of all deeds and related documents, i.e., real estate mortgages, statutory requirements, etc.
4. Coordinates activities with the manager to meet departmental goals and objectives.
5. Monitors workflows and distribution of work and makes recommendations to the Manager for more efficient operations.
6. Resolves customer complaints as necessary and maintains records of complaints.
7. Performs monetary transactions involving cash, credit cards, and checks. Verifies cash drawer counts for employees and manages the scanning of checks.
8. Oversees the quality control of indexing and makes recommendations for improvements in operating procedures as well as the indexing guidelines.
9. Coordinates procedural workshops internally/externally.
10. Submits communications/literature to organizations, groups, and law firms regarding changes and laws related to real estate, deeds, etc.
11. Performs other related duties as required or directed.

1. Ability to interpret legal documents to determine pertinent information for indexing and calculating fees and taxes.
2. Ability to make verbal and written reports and presentations to convey information clearly and precisely.
3. Ability to plan and direct the work of others.
4. Ability to exercise good judgment in analyzing administrative problems and recommend/take appropriate action.
5. Knowledge of Shelby County substantive programs and policies, and services of related Federal, State, and local programs.
6. Ability to deal tactfully and effectively with team members, other departments, the public, and government agencies.
7. Ability to use all indexes, such as grantor and grantee, and research documents as needed for information and copying.
8. Knowledge of various legal instruments issued by the Court.
9. Ability to communicate effectively, both orally and in writing. Must have good organizational and communication skills.
10. Knowledge of Microsoft Office Suites (Word, Excel, and Outlook).
11. Must always maintain professionalism when assisting the customers.
12. Must be willing to travel/work at satellite locations when needed.
Special Requirements
May have to attend meetings/activities on weekends and /or after regular business hours and may require overtime.
Physical Requirements
Must be able to lift 50 lbs. if needed.
