Position Summary

IT Takes A Village (ITAV) is seeking a detail-oriented and proactive Administrative Assistant to provide essential clerical and operational support across our nonprofit programs. This role plays a critical part in helping ITAV fulfill its mission to empower historically underserved communities through education, workforce development, and entrepreneurship support. The Administrative Assistant will work closely with leadership, program coordinators, community partners, and volunteers to ensure smooth daily operations and deliver exceptional service.

Key ResponsibilitiesAdministrative and Office Support

Manage the daily calendar, schedule meetings, and coordinate appointments for program directors and leadership staff.
Prepare internal communications, reports, memos, and community outreach materials.
Maintain digital and physical filing systems for HR, finance, and program documentation.
Handle incoming calls, emails, and visitor inquiries professionally and promptly.

Program Coordination Support

Assist in planning, scheduling, and executing program events, workshops, and training sessions.
Track participant enrollment, attendance, and feedback for reporting and grant compliance.
Support data entry and documentation for grant reports, evaluations, and audits.
Communicate with community partners, mentors, and vendors regarding program logistics.

Operations and Logistics

Monitor office supplies and coordinate orders for materials and equipment.
Help manage communication platforms and digital tools (e.g., Google Workspace, Zoom, WhatsApp groups).
Maintain ITAV’s internal calendar of activities and deadlines.
Coordinate travel arrangements and reimbursements when necessary.

Qualifications

Associate degree or higher in Business Administration, Nonprofit Management, or a related field (or equivalent experience).
Minimum 2 years of experience in an administrative or clerical role (nonprofit or community-based setting preferred).
Proficient in Microsoft Office and Google Workspace; familiarity with project management tools a plus.
Strong communication, organizational, and problem-solving skills.
Ability to manage multiple priorities in a fast-paced, mission-driven environment.
Demonstrated cultural competence and a commitment to serving diverse communities.

Preferred Skills

or multilingual fluency is a plus.
Experience with grant reporting, community outreach, or CRM platforms.
Familiarity with nonprofit governance, funding cycles, or workforce development initiatives.
