About the Role
The Administrative Assistant provides high-level administrative support to the Leadership Team (LT), ensuring seamless daily operations and strategic execution of business initiatives. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Serves as a critical liaison between internal teams, clients, and external partners while handling confidential and time-sensitive information.
Essential Duties and Responsibilities
Schedule and coordinate meetings for the LT, ensuring efficient time management.
Maintain and organize LT email inboxes and calendars, including scheduling, travel details, and follow-ups.
Assist with travel arrangements for the LT and client meetings, including booking flights, hotels, meals, and coordinating logistics.
Manage the preparation, review, and submission of expense reports.
Plan and coordinate EOS Quarterly Meetings, including travel, accommodations, dining, and activity logistics.
Prepare and distribute documents to the EOS coach before meetings and update EOS documents post-meetings.
Oversee the GPTWC team and ensure smooth coordination of projects.
Organize Lunch & Learn sessions by coordinating with vendors and internal teams.
Order and manage swag and gifts for customer appreciation, holidays, and employee recognition.
Compile and distribute a monthly update newsletter for both internal (company) and external (clients) audiences.
Supports the experiential team, as needed, with activations, and events.
Ensure seamless communication across teams and with external partners, maintaining professionalism and efficiency.
Assist with personal items when requested, in order to enable the LT to grow the business. Minimal, but may be needed periodically.
Maintain flexible working hours to accommodate the dynamic needs of the LT and business operations.
Education and Experience
Knowledge of office management systems and procedures.
Proficiency in MS Office and strong English communication skills.
Outstanding organizational and time management abilities.
Ability to multitask and prioritize daily workload effectively.
Excellent verbal and written communication skills.
High level of discretion and confidentiality.
2-year degree preferred.
Strong problem-solving skills with the ability to work independently.
Adaptability and flexibility to meet evolving business needs.
