As a Receptionist/Administrator, you will be the first point of contact for our clients and visitors, ensuring positive and professional experience. Additionally, you will support our team with keeping compliance and risk management activities. This entry-level position is ideal for someone who is detail-oriented, proactive, and eager to learn. This is a fully in-person position located in Kearny, NJ.

Duties and Responsibilities:

Greet and welcome visitors in a professional and friendly manner.
Serves as the primary contact for incoming calls, manages all messages and is responsible for ensuring the caller receives complete information that meets their request/need.
Assist with filing, daily mail, assist with ordering and deliveries, and other miscellaneous duties as may be assigned.
Maintaining printed copies of internal paperwork available for all employees
Assists with payroll processing by keeping data-entry, collecting timesheets, scanning files into company database.
Responsible for preparing and sending subcontracts to subcontractors via DocuSign.
Supporting various departments by collecting and coordinating internal compliance data with various departments
Responsible for assisting with processing and maintaining weekly data metrics in a timely manner.
Requesting Certificates of Insurance (COIs) from our subcontractors and forwarding them to our insurance broker for review.
Ensuring contractor’s insurances documents (COIs) are within company guidelines.
Obtaining COIs from our insurance company and sending them to clients.
Support vendor onboarding by liaising with operations, other internal teams, along with external parties.
Other duties as assigned.

Qualifications:

High school diploma or GED equivalent, required.
Associate’s degree or pursuing a college degree, preferred.
One-year previous experience in a receptionist/secretarial/clerical field
Must possess a kind, courteous, and professional personality.
Computer knowledge includes Word, Excel, Outlook, PowerPoint, word-processing.
Excellent grammar and spelling skills, essential.
Good time management skills, excellent follow-through abilities and detail oriented.
Ability to work well with others and in a team environment.
