Job Description

Decks Unlimited is seeking a highly motivated and dedicated Construction Administrative Assistant to join our team. This important role will focus on handling incoming sales calls with professionalism, processing permits and paperwork related to all projects, as well as ensuring smooth project operations. You will play a crucial role in supporting our Decks Unlimited team and helping us to overcome daily business challenges.

Key Responsibilities:

Answer and handle all calls in a professional and respectful manner

Discuss our primary business services, including decks, railings, pergolas, sunrooms, and concrete

Manage office systems, ensuring efficiency across all administrative tasks

Expertly use Excel and other Microsoft Office applications to maintain records and support business operations

Utilize and update Decks Unlimited CRM system, Time Tree application, and Google Drive to track all leads, appointments, and sold projects from start to finish

Collaborate with the team to problem solve and address business challenges

Organize daily tasks and schedules to ensure smooth workflow and effective communication across teams and customers

Manage all permits and paperwork while communicating with city offices, sales, and field teams

Assist with administrative duties and maintaining office systems to ensure the office runs smoothly, from managing communication to handling daily office needs

Qualifications:

1-3 years administrative experience

Excellent written and verbal communication skills

Proficient in Excel and other administrative software (Microsoft Office Suite, Google Workspace, CRM systems)

Experience with social media platforms including posting and ad resources

Self-motivated, detail-oriented, and highly organized

Ability to work with little supervision with a strong ability to prioritize tasks

Ability to maintain a positive and professional attitude when handling calls

Problem-solving mindset and proactive approach to overcoming challenges

Previous experience in a similar administrative role or office role

Requirements:

Administrative support: 1 year (required)

Customer Service: 1 year (required)

High School (required) or some college

Valid Driver’s License and reliable transportation

Ability to commute to Flat Rock

Full-time March 1 – November 1;
Part-time / Seasonal November 1 – March 1

Schedule:

Monday to Friday 8:00 a.m. – 12:00 p.m. (November 1 – April
1)

40+ hours potential during peak season (April 1 – November
1) Monday to Friday 8:00 a.m. – 5:00 p.m.
