Primary Services is excited to announce the role of Construction Administrative Assistant for a major client supporting large-scale construction and infrastructure initiatives. This role centers on a highly organized professional working on active projects, providing critical administrative coordination to keep teams aligned and projects moving forward. The Construction Administrative Assistant will work closely with project managers, contractors, and internal departments to maintain documentation, manage schedules, and support day-to-day operational needs.

Responsibilities

  • Prepare and maintain project documentation, including contracts, permits, reports, and internal records.
  • Coordinate meetings, schedules, and communications among project managers, contractors, and vendors.
  • Track project timelines, deliverables, and budget information using spreadsheets and project management tools.
  • Support procurement activities, including ordering materials and maintaining inventory documentation.
  • Maintain organized electronic and physical filing systems for construction documentation and correspondence.
  • Respond to inquiries and provide administrative support to both field personnel and office staff.
  • Monitor project records to ensure compliance with internal procedures and construction documentation standards.
  • Compile reports and summaries related to project status, documentation updates, and scheduling activities.
  • Assist with data entry and analysis related to project tracking and operational reporting.

Qualifications

  • High school diploma or GED required.
  • 0–2 years of administrative, clerical, or project support experience.
  • Proficiency in Microsoft Office Suite including Word, Excel, and Outlook.
  • Experience with document management systems and digital filing processes.
  • Data entry and spreadsheet analysis experience.
  • Familiarity with Adobe Acrobat or similar document editing tools.
  • Exposure to construction documentation, terminology, or project workflows preferred.
  • Experience maintaining project documentation, such as contracts, permits, and reports, preferred.
  • Ability to manage multiple schedules, records, and project-related administrative tasks simultaneously.
