We are currently seeking a highly motivated, organized, and detail-oriented Administrative Assistant to join our team. This is a permanent position where the successful candidate will be responsible for providing comprehensive administrative support, ensuring the smooth operation of our office. This role involves a high level of interaction with clients, vendors, and our internal team. The ideal candidate will have a minimum of 2 years of experience in a similar role within the construction industry.

Job DetailsResponsibilities

Act as the first point of contact, answering phones and emails in a professional and timely manner.

Develop and maintain strong client relationships, providing excellent customer service to ensure client satisfaction.

Manage relationships with vendors, coordinating services as needed.

Assist in the administrative workflow to ensure efficiency and productivity within the office.

Coordinate scheduling and calendar management, organizing meetings, and preparing agendas.

Edit and proofread documents, ensuring accuracy and consistency.

Assist in the preparation of bids, compiling necessary documents and information.

Manage construction licensing, ensuring all licenses are current and compliant.

Perform other administrative tasks as required, such as filing, data entry, and document management.

Qualifications

Minimum of 2 years of experience in an administrative role within the construction industry.

Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).

Excellent written and verbal communication skills.

Strong customer service skills with the ability to build and maintain relationships.

Detail-oriented with strong organizational skills.

Ability to manage multiple tasks and priorities in a fast-paced environment.

Experience with scheduling, calendar management, and preparing meeting agendas.

Knowledge of construction licensing and bid preparation.

Proven ability to work both independently and as part of a team.

High school diploma or equivalent required, bachelor’s degree preferred.
