Job Summary:
This position provides administrative support to the Dean of Teaching, Learning and Educational Technology Center (TLETC), Faculty and staff within the academic division. The position requires the ability to work in an independent manner, maintain an in-depth knowledge of college and departmental procedures, resolve departmental issues, assist with managing division budgets, contracts, and vendor payments, and exercise good judgment and initiative while adhering to administrative details.

Job Description:
Department Operations and Processes (55%)
1. Maintains various registration databases for the Teaching, Learning and Educational Technology Center (TLETC) activities and prepares reports from the database.
2. Processes faculty pay for attending faculty professional learning
3. Processes all forms (NIAL, Change in Salary, Travel) and correspondence, including composing emails on behalf of the Teaching, Learning and Educational Technology Center (TLETC)
4. Coordinates all services for the Teaching, Learning and Educational Technology Center (TLETC) activities and functions; records the minutes of all committees and meetings.
5. Coordinates the logistics of various meetings, training sessions/activities, and luncheons, including the room and furniture arrangement, delivering supplies and materials, and preparing and distributing materials to participants.
6.Oversees the work of student worker(s).
7. Maintains supplies for the Teaching, Learning and Educational Technology Center (TLETC) and processes division purchasing as needed.
8. Holds the Ed Affairs Zoom webinar license, schedules webinars and trains others on how to facilitate Zoom webinars.
Student/Customer Services (40%)
1. Answers the Teaching, Learning and Educational Technology Center (TLETC) phone and email, responds to inquiries, and refers calls to appropriate offices for assistance as necessary.
2. Maintains activities calendar, SharePoint, and facilitates external communication for the Teaching, Learning and Educational Technology Center (TLETC).
3. Processes all forms and contracts and maintains Departmental budget reporting system.
4. Assists instructors with record keeping (NIALS, CIS, PLARP, Travel and CLC Learn) and monitors the accuracy and completion of those records.
Other (5%)
1. Independently updates skills as needed to meet the challenges in the position.
2. Participate in governance, senate, committee, council or taskforce.
3. Performs other related duties as assigned.

Required Qualifications
1. High school diploma or equivalent and four (4) years of administrative support or related experience
2. Proficiency with Microsoft Word, Excel, Outlook, and Windows Operating System.
3. Strong written and verbal communication skills
4. Strong organizational and time management skills
5. Experience with payrol, purchasing and budget management
6. Demonstrated experience accessing and maintaining confidential information
Desired Qualifications
1. Associate’s degree
2. Professional experience working in higher education, ideally with a community college supporting and interacting faculty and students
3. Professional experience working with learning management systems (such as Canvas) and course registration systems (such as Destiny One).
