Full Job Description
SUMMARY
This position provides a variety of services essential to servicing our clients, both internal and external. This service will include but is not limited to providing general administrative and clerical support to the Director of Construction West Coast.
Essential Duties and Responsibilities
Provide administrative support to the Director of West Coast including managing calendars, scheduling meetings, travel arrangements, and handling correspondence.
Act as a liaison between the Director and internal/external stakeholders, handling inquiries and requests promptly and professionally.
Prepare and distribute reports, presentations, and other documents for internal and external stakeholders.
Assist in the preparation and distribution of new or updated construction documents and training materials.
Assist in documenting and correspondence of all specialty projects across all the companies and assist new subcontractors in that space.
Review weekly project installation/shipment schedules from all West Coast centers to review capacity and efficiencies between companies on using shared labor forces and subcontractors.
Conduct research and compile data from past projects or trends as assigned by the director.
Collaborate with other departments to streamline workflows and improve efficiency.
Assist in the development and implementation of operational policies and procedures.
Manage incoming office calls and emails, directing inquiries to the appropriate personnel and providing timely responses when necessary.
Assist with warranty claims and help estimators with set up of warranty scope and estimate to review with the director.
Assist with special projects and initiatives as assigned by the Director.
Assist with contracts and leases regarding buildings, equipment, and vehicle fleet management.

Minimum Education: High School, GED or equivalent in combined experience and training.
Bilingual in English/Spanish preferred

The ability to organize, prioritize, and allocate workload for optimum efficiency.

Computer Skills
Demonstrated proficiency with MS Excel, Word, PowerPoint, and Outlook.
Adobe or similar for mark ups or take offs is preferred.
