Job Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role is essential in supporting daily operations and ensuring that administrative tasks are completed efficiently. The ideal candidate will possess strong data entry skills and familiarity with various HR and payroll systems, contributing to the smooth functioning of our office environment.
Duties
Human Resources:
– Manage the entire employee lifecycle, from hiring to termination.
– Coordinate selection processes, interviews, and staff hiring.
– Administer employee benefits and compensation.
– Assist in onboarding new employees and provide guidance on the school’s culture and policies. – Manage and resolve labor conflicts effectively.
– Ensure compliance with local labor laws and educational regulations.
Administration:
– Collaborate in collecting work hours for payroll processing and ensure accuracy.
– Apply employee benefits and follow up on their administration.
– Coordinate with suppliers of products and services, ensuring timely deliveries.
– Assist with managing administrative documents, including contracts, reports, and employee records. – Perform general office tasks such as filing and organizing documentation.
– Collaborate with the accountant in creating and monitoring budgets, ensuring compliance with financial projections.
– Manage and coordinate liability insurance policies, working with providers to ensure adequate coverage for the school.
– Work with external lawyers to resolve legal conflicts that may arise, ensuring compliance with regulations and the well-being of the school.
Qualifications
BA in Human Resources, Business Administration, Psychology, or related fields.
– Minimum of 2 years of experience in a similar role, preferably in a small company or in the educational sector.
– Basic knowledge of payroll management and benefits administration.
– Experience in managing suppliers and external services.
– Basic knowledge of budgeting and liability insurance management.
– Experience or willingness to collaborate with specialist in conflict resolution.
– Strong verbal and written communication skills.
– Ability to manage multiple tasks efficiently.
– Knowledge of local labor laws and educational regulations.
– Ability to work both independently and as part of a team.
– Attention to detail and ability to handle administrative tasks accurately.
