In this role, you’ll be the organizational backbone of our projects—supporting Project Managers, streamlining communications, and ensuring documentation and operations run seamlessly.
Key Responsibilities:
Project Planning & Startup
- Review and interpret architectural drawings to support estimating and project planning.
- Prepare and distribute kickoff packages, construction schedules, and startup documents.
- Organize project folders, templates, and digital platforms for efficient access.
- Support procurement and trade award processes, including bid documents and supplier coordination.
Construction Coordination
- Order and track materials, ensuring timely delivery to job sites.
- Manage RFIs, submittals, shop drawings, and change orders with accurate logging and follow-up.
- Maintain job records and procurement sheets across digital platforms.
- Act as the first point of contact for trades and suppliers on drawings, specifications, and technical issues.
- Support weekly site meetings, preparing agendas and distributing minutes.
Documentation & Administration
- Maintain accurate project and corporate records (digital and physical).
- Prepare daily reports, photos, deficiency lists, and close-out documentation.
- Handle incoming/outgoing mail and consolidate supplier/trade records into master lists.
- Provide administrative support to executives, designers, and external partners.
- Manage emails, meetings, and events across both business and personal scopes.
Operations & Workflow Development
- Assist in SOP creation, workflow documentation, and Tranual setup.
- Contribute to process improvement initiatives and implementation of new platforms/software.
- Provide technical support to trade partners using internal systems and digital tools.
Procurement & Logistics
- Coordinate ordering, shipping, and delivery schedules for project sites and office needs.
- Track inventory and manage logistics for local and out-of-town deliveries.
Project Close-Out & Warranty
- Prepare deficiency lists, warranty logs, and client feedback reports.
- Deliver manuals, warranties, and as-built documentation at project completion.
Qualifications:
- Bachelor’s Degree in Architecture or Engineering
- 5+ years of construction administration experience with US/Canadian companies
- Strong organizational, documentation, and communication skills
- Proficiency in Buildertrend, Microsoft Office Suite, Adobe, ClickUp, Dropbox, Lucidchart
- Excellent problem-solving, analytical, and research abilities
- High attention to detail with exceptional proofreading and data accuracy
- Ability to work independently and collaboratively in a fast-paced environment
- Strong commitment to confidentiality and professionalism
