Reports to:Site Superintendent

Summary of Responsibilities:Under the close supervision of the site Superintendent and the Department of Human Resources, the incumbent is primarily responsible for providing clerical and administrative support services to the project. Duties include ensuring that weekly time for all employees is recorded correctly, maintaining an accurate inventory of job materials, maintaining up-to-date records of all material invoices as they arrive or leave the job site, and handing out pay stubs. Additionally, the incumbent must record all accident reports regardless of seriousness, and remind the superintendent of daily duties and any special meetings that they are required to attend.

Minimum Qualifications:

· Strong organizational and time management skills and ability to manage priorities with minimal guidance

· Working knowledge of Excel, Word, Outlook, and calculator

· Good knowledge of telephone etiquette

· Basic knowledge of record keeping and inventory control

· Strong clerical skills and ability to communicate in writing and verbally

· Ability to tactfully interact with inspectors, visitors, general contractors, and co-workers

· Driver’s license and good driving record

Essential Functions of the Job:

· Covered by established standards and procedures

· Refer all problems to the supervisor or the Department of Human Resources

· Primarily responsible for providing clerical and administrative assistance to the assigned job site

· Calculate and enter the appropriate time for each employee assigned to the job site

· Answer incoming telephone calls, direct calls to the appropriate party, or take messages

· Function as a receptionist for the assigned job sites, check materials and miscellaneous inventory, issue field equipment, and answer inquiries from the main office

· Check for correctness and accuracy of all employees’ time, paperwork, inventory, and hand out payroll

· Order materials as needed such as time cards, supplies, etc

· Drive company vehicle as needed

· Other duties as assigned
Physical Demands:
The physical demands must be met in order to successfully perform the essential functions of the job. While performing the essential functions, the employee must be able to lift 15 pounds at times and sit at a desk for prolonged periods working on a computer.

Work Environment:

Work in an office environment and work seated at a computer for extended periods of time.

Preferred Education & Experience:

High school education (or equivalent) is preferable and basic knowledge of mathematics.

Position Type/Expected Hours of Work:

This is a full-time position and the hours of work and day are Monday through Friday, 6:30 AM to 3:30 PM or until the work is completed, and occasionally Saturdays. Overtime is worked as scheduled.
