The
purpose
of the Content Management Administrator role is to provide administrative support to the Company’s Document Development Team.
Outcomes and
Activities:
Document Submission Process:
Review materials submitted for formal approval that are not Policies, Guidelines, Job Aids, or Dealer Funding Standards, ensuring that the submission is complete, contacting submitter to request any information missing from the submission and verifying information provided in the submission. Format content prior to submitting for approval including (but not limited to) adding headers, footers, or cover pages when necessary.
Document Management
:
Facilitate all Company content submitted to Corporate Legal through the formal approval process. Manage the approved content located in the Published Document Library and the Knowledge Portal in a manner that allows documents to be easily located. This includes ensuring that the correct versions are available to team members, accurate source documents are preserved, and prior versions are correctly archived in the historical library.
Document Publication:
Take all necessary steps to ensure that team members have access to the documents in the Published Document Library and the Knowledge Portal that are necessary for them to do their job.
This work includes contacting
senior leadership
to obtain the release dates for content, implementation dates for new content, and the dates for the commencement of Quality Audit’s review. Upload all Policies, Job Aids, and Guidelines to the Knowledge Portal at the time they are published in the Published Document Library. Ensure all content and dates listed are identical to the approved source version of the document.
Confirm that all links contained in documents are correctly functioning. Review documents for formatting errors and correct as necessary.
Contract Management:
Assist in managing the execution and archiving of corporate agreements by (including but not limited to) ensuring that agreements are fully, accurately and compliantly executed, timely received, and added to the Company’s Records accurately.
Administrative Tasks :
Oversee and respond to inquiries made to the Document Development Team through assigned tasks . Assist with document productions in an organized and logical manner. Be willing to help with …
