SUMMARY:
The Administrative Assistant works closely with the Property Manager and Assistant Property Manager to handle clerical and administrative tasks for assigned properties or projects. This role emphasizes providing outstanding customer service to tenants, prospective tenants, vendors, and stakeholders, while maintaining a focus on efficiency and results.
KEY RESPONSIBILITIES:
General Administration:
Provide comprehensive administrative support, including handling calls, drafting reports, filing, and managing correspondence.
Schedule and organize meetings or special events as needed.
Assist with lease management tasks, such as setting up leases, processing changes, and generating reports.
Coordinate bid proposals, contracts, and invoice approvals.
Maintain organized lease and property documentation.
Tenant and Vendor Relations:
Foster positive relationships with tenants and vendors through effective communication and support.
Prepare tenant communications, move-in packages, and coordinate marketing events.
Manage and track access requests, including activation and deactivation of building access cards.
Financial and Operational Support:
Assist with preparing management reports, variance reports, and budget drafts.
Handle accounts receivable tasks, including tracking payments, following up on collections, and preparing reconciliation reports.
Process accounts payable entries and ensure proper filing of financial records.
Record-Keeping:
Maintain up-to-date property records, including lease details, insurance certificates, and tenant files.
Manage digital and physical filing systems for tenants, vendors, and property-related documents.
Oversee records for building access, parking, and property signage.
COMMUNICATION AND COORDINATION:
Act as a point of contact for tenants, vendors, and visitors, addressing inquiries or directing them to appropriate personnel.
Coordinate meeting schedules, including setup and teardown for on-site events.
Ensure effective internal communication by drafting and distributing memos and updates.
ADDITIONAL RESPONSIBILITIES:
Support capital improvement and property enhancement projects.
Order and maintain office supplies.
Handle special projects or tasks as assigned by management.
QUALIFICATIONS:
Bachelor’s degree in business administration, real estate, or a related field preferred.
2-3 years of experience in real estate or property management is ideal.
SKILLS AND ATTRIBUTES:
Proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
Familiarity with property management software is an asset.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Professional demeanor and a customer-focused approach.

This role requires the ability to work in an office environment and perform tasks involving computer usage, document handling, and occasional physical activities related to property management.
