The Contractor Administrator is responsible for providing day to day administrative support to the Senior Operations Director.

Key Responsibilities And Duties

Executive Support – Manage the Director’s calendar, emails, meetings, and communications, ensuring priorities are handled efficiently.

Meeting Coordination – Prepare agendas, take minutes, and track action items for internal and external meetings.

Stakeholder Liaison – Act as the primary contact for internal and external stakeholders on behalf of the Director.

Documentation & Communication – Draft, edit, and manage reports, presentations, and internal communications.

Project & Site Support – Assist with project timelines, attend site visits, support coordination meetings, and track key milestones.

Contract & Quality Coordination – Support contractor onboarding, documentation, and quality audits, ensuring timely follow-ups.

Reporting & Data Management – Collate data and support the creation of performance reports, audits, and KPI tracking.

General Administration – Perform ad hoc duties as needed while maintaining a professional image for the company

Requirements

Strong Organisational & Time Management Skills – Ability to manage multiple priorities, calendars, deadlines, and action items efficiently.

Excellent Communication Skills – Proficient in drafting professional correspondence, reports, and presentations; confident liaising with internal and external stakeholders.

Attention to Detail – High standard of accuracy in managing documentation, reporting, and meeting outputs

Experience in Construction – Familiarity with contractor management, site documentation, or project delivery processes. (Desirable not essential)

Basic Understanding of Contracts & Quality Management – Awareness of how contractor contracts are awarded and quality audits conducted. (Desirable not essential)
