Job Summary:
Clinton Community Unit School District No. 15 is seeking a detail-oriented and organized Transportation Administrative Assistant to support the efficient operation of the district’s transportation department. This role involves coordinating bus routes, maintaining driver records, ensuring compliance with state regulations, and assisting with administrative tasks related to transportation logistics. The ideal candidate will excel in multitasking, communication, and recordkeeping.
Key Responsibilities:
Assist in coordinating and updating bus routes, including reviewing and editing bus rosters in the district’s system.
Serve as the bus dispatch operator during morning and afternoon shifts to troubleshoot and adjust routes as needed.
Coordinate transportation logistics with alternative schools.
Schedule and submit bus/van driver physicals to ensure compliance with Regional Office of Education (ROE) standards.
Support new drivers with CDL paperwork and testing arrangements; maintain records for existing drivers’ Bus Refresher Course registration.
Report stop-arm violations to the local police department.
Act as the district liaison for automotive insurance matters.
Manage driver documentation with the Secretary of State and Midwest Truckers, including adding or removing drivers from systems.
Coordinate drug testing and fingerprinting for new and existing drivers.
Prepare and submit state transportation reimbursement reports.
Assist in scheduling drivers for sports and activity trips.
Maintain preventative maintenance (pre-trip) documentation, vehicle mileage records, and driver seniority lists.
Qualifications:
Associate’s degree or higher preferred but not required.
Strong organizational and multitasking skills.
Proficiency in recordkeeping and data management.
Excellent communication skills and the ability to work collaboratively.
Familiarity with transportation logistics or administrative support is a plus.
Work Schedule:
8 hours per day (10 months of the year)
7:00 AM – 3:30 PM (8 hours)
